The Gardens at St. Elizabeth, located in the historic Highlands neighborhood of Denver, is an Assisted Living and Memory Care community looking for an Administrative Assistant to join its team!

Job Responsibilities:

Are you a master organizer who thrives in a fast-paced environment? We are looking for a highly detailed and proactive Administrative Assistant who is excited to wear multiple hats in our community.

In this versatile role, you will report directly to the Executive Director, providing crucial administrative support while balancing two other essential pillars: keeping our nursing schedule perfectly staffed and assisting our Business Office Director with daily financial operations.

Key Responsibilities

1. Direct Support & Administrative Partnership

Wear Multiple Hats: Assist the Executive Director with a wide range of daily tasks, special projects, and administrative needs as requested.

Direct Reporting: Work closely under the guidance of the Executive Director to ensure the smooth, compliant operation of the administrative office.

2. Nursing Staff Scheduling & Coverage

Master the Schedule: Create, manage, and maintain daily and monthly schedules for the nursing team, ensuring we always maintain proper staffing ratios.

Rapid Response: Serve as the go-to person during business hours to handle last-minute call-offs, managing immediate staff replacements with calm and efficiency.

Time-Off Management: Review, track, and coordinate PTO requests, ensuring seamless coverage so our residents never experience a gap in care.

3. Business Office Support

Billing Assistance: Work closely with the Business Office Director to process billing charges and ensure accurate data entry.

Statements & Invoices: Assist with the preparation, filing, and delivery of monthly statements.

Invoice Management: Collect incoming invoices, review them for accuracy, and promptly upload them into our billing system for the Business Office Director.

What We Are Looking For

The "Multi-Hat" Mentality: Someone who thrives on variety and can easily shift gears between scheduling emergencies, financial administrative tasks, and executive support.

Experience: 12 years of experience in scheduling (healthcare/nursing scheduling is a huge plus) or versatile administrative support.

Tech-Savvy: Comfortable learning scheduling software and billing/financial management systems quickly.

Detail-Oriented: A high level of accuracy when handling financial invoices, billing data, and employee PTO tracking.

Strong Communication: Empathic yet firm communication skills, crucial for discussing schedule changes with nursing staff and collaborating with department heads.

Pay rate: $20.00-21.20/hour, depending on experience.

Requirements:

  • High school Diploma or equivalent.
