Order Processing & General Administration Assistant

We are seeking a highly organised, observant, and proactive individual to join our family-run business as an Order Processing & General Administration Assistant. This role involves processing customer orders, providing administrative support, maintaining accurate financial records, and assisting with general office duties to support the smooth day-to-day operations.
\nDay-to-day of the role:

Order Processing:
\n- \n
- Process customer orders accurately and efficiently. \n
- Prepare invoices, delivery notes, purchase orders, and customer installation packs. \n
- Coordinate with customers, suppliers, and the warehouse regarding order status. \n
- Track and monitor orders from receipt through to delivery. \n
- Resolve order discrepancies and customer queries promptly. \n
- Maintain accurate customer and product records. \n

General Administration:
\n- \n
- Answer telephone calls and respond to emails professionally. \n
- Maintain filing systems and office records. \n
- Schedule appointments with customers. \n
- Prepare reports, correspondence, and other documentation. \n
- Provide administrative support to management and other departments. \n
- Assist with maintaining company CRM system and records. \n

Accounts:
\n- \n
- Raise sales invoices and process purchase invoices. \n
- Record receipts, payments, and banking transactions. \n
- Reconcile supplier and customer accounts. \n
- Assist with chasing customers for outstanding invoices. \n

Required Skills & Qualifications:
\n- \n
- Previous experience in order processing and administration \n
- Good understanding of bookkeeping principles. \n
- Proficient in Microsoft Office (Word, Excel, Outlook). \n
- Experience with accounting software (e.g., Sage, Xero). \n
- Excellent organisational and time management skills. \n
- Strong attention to detail and accuracy. \n
- Good communication and customer service skills. \n
- Ability to prioritise workload and work independently. \n
- GCSEs (or equivalent) including Maths and English. \n
- Previous office administration experience preferred. \n
