Job Title: Labour Controller/ Repairs Scheduler

Location: HainaultSalary: £36,000 per annum

About the Role

\n

Our client, a leading Facilities Maintenance provider, is seeking a proactive and organised Labour Controller / Scheduler to join their team. This role is key in supporting the Contracts Manager and engineering teams, ensuring the efficient coordination of planned and reactive maintenance across a dedicated account.

\n

The successful candidate will act as the first point of contact for clients, managing service requests, allocating work, and ensuring all contractual response times and client expectations are consistently met.

Key Responsibilities

  • Act as the first point of contact for client enquiries, handling calls and service requests professionally
  • \n
  • Log and manage reactive maintenance tasks via the in-house CAFM system
  • \n
  • Review outstanding jobs against contractual response times, ensuring timely action and prioritisation
  • \n
  • Allocate work to engineers using internal systems and client portals
  • \n
  • Liaise with subcontractors where required, ensuring all relevant details (response times, access, completion requirements) are clearly communicated
  • \n
  • Coordinate with the Contracts Manager to procure appropriate subcontractors
  • \n
  • Book works directly with clients in line with agreed procedures
  • \n
  • Arrange and submit permits to work (RAMS) where necessary
  • \n
  • Maintain accurate scheduling in the Engineers Planner to maximise productivity and response times
  • \n
  • Process engineers’ paperwork, including timesheets and job reports, ensuring accuracy and completeness
  • \n
  • Identify remedial works and escalate for quotation via the Contracts Manager
  • \n
  • Upload completion reports and relevant documentation to client portals
  • \n
  • Maintain accurate records on internal and client systems (e.g. Planon, Concerto, Joblogic)
  • \n
  • Order materials and track deliveries, liaising with procurement to ensure correct job allocation
  • \n
  • Provide out-of-hours support on a rota basis (approx. 1 week in 6)
  • \n
  • Support delivery of maintenance services within varying client budgets
  • \n

Skills & Experience Required

  • Strong planning and organisational skills with the ability to prioritise workload effectively
  • \n
  • Excellent communication skills, both written and verbal
  • \n
  • Proven customer service skills with a professional and approachable manner
  • \n
  • Good IT proficiency, including Excel and CAFM systems
  • \n
  • Ability to work collaboratively within a team environment
  • \n
  • High level of attention to detail and accuracy
  • \n
  • Ability to manage multiple tasks and meet deadlines under pressure
  • \n
  • Open, honest, and clear communication style with internal teams, clients, and subcontractors
