We are seeking an experienced Administrative Assistant to join a specialist law firm based in the heart of the City. This role is ideal for someone with a background in administrative support, within a law firm that is looking to join a small but cohesive team. The successful candidate will coordinate meetings, manage office events, and support various administrative tasks.

Day-to-day of the role:

    \n
  • Coordinate all meetings, webinars, and client-facing event logistics including catering, RSVPs, room and technology setup, name badges, tracking, and engagement.
  • \n
  • Provide word processing support, dictation, document amendments, and document production.
  • \n
  • Plan and manage office events, coordinating with internal and external resources, managing event budgets.
  • \n
  • Handle calendar management, travel, and meeting planning.
  • \n
  • Coordinate onboarding and offboarding processes with HR & IT, including tracking of mandatory training specific to roles.
  • \n
  • Assist with marketing and client development activities/events.
  • \n
  • Manage timekeeping support and expense reimbursements.
  • \n
  • Coordinate NDAs and support records management including information storage, retention, and retrieval.
  • \n
  • Manage stationery orders and inventory.
  • \n
  • Coordinate courier services and act as first-line IT support when necessary.
  • \n
  • Assist HR with surveys and operations of the London office space including space assessment and planning.
  • \n
  • Manage the purchasing of equipment, furniture, and supplies.
  • \n
  • Oversee office service operations including mail, messenger, and reception services.
  • \n
  • Work with the US team on updating emergency preparedness and disaster recovery plans.
  • \n
  • Provide backup support to Legal, Finance & Ops Administrator in creating client matters, file openings, and engagement letters.

Required Skills & Qualifications:

\n
    \n
  • Minimum of 2-3 years of administrative experience, preferably at a law firm.
  • \n
  • Strong technical skills with Microsoft Office Suite, especially Word, Excel, PowerPoint, and Outlook.
  • \n
  • Proficiency with 3E strongly preferred and document management systems, NetDocs preferred.
  • \n
  • Excellent written and verbal communication skills.
  • \n
  • Exceptional attention to detail.
  • \n
  • Ability to handle multiple priorities and work effectively under pressure.
  • \n
  • Ability to work both independently and as part of a team.
  • \n
  • Ability to maintain and manage confidential information.
  • \n
  • Willingness to work occasional overtime as needed.
  • \n

Education:

    \n
  • Associates or Undergraduate degree in Business or a relevant field, or equivalent work experience.
