Studio Assistant (Maternity Cover)

Location: Shoreditch, London

Hours: Full-time, Monday–Friday, 9:30am–5:30pm

Working Pattern: Office-based Monday–Thursday, with potential to work from home on Fridays following a successful probation period

Contract: Maternity Cover (with potential to become a permanent role)

We are a creative interior design studio based in Shoreditch, delivering thoughtful and distinctive interiors in the luxury hospitality sector. We are looking for an organised, enthusiastic and proactive Studio Assistant to support the day-to-day running of the studio and help ensure our team can work efficiently and effectively.

The Role

\n

The Studio Assistant will provide administrative, operational and office support across the business. Working closely with the leadership team and wider studio, you will play an important role in maintaining the smooth running of the office, supporting staff, coordinating logistics and helping create a positive studio environment.

Key Responsibilities

\n

\n

Executive & Diary Support

\n
    \n
  • Assist with diary management and scheduling.
  • \n
  • Coordinate internal meetings and external client appointments.
  • \n
  • Monitor meeting calendars and room bookings.
  • \n
  • Support workload planning and scheduling where required.
  • \n
  • Keep track of team attendance and whereabouts.
  • \n
\n

Finance Administration

\n
    \n
  • Track office payments and forward receipts to the Finance Manager.
  • \n
  • Assist with general finance administration as required.
  • \n
\n

\n

IT & Systems Coordination

\n
    \n
  • Act as the first point of contact for basic IT issues.
  • \n
  • Liaise with external IT support providers.
  • \n
  • Coordinate IT requirements for new starters and leavers.
  • \n
  • Manage project email accounts and software access.
  • \n
  • Monitor and maintain software licences and subscriptions.
  • \n
  • Track equipment leases and studio devices.
  • \n

Office Management

\n

  • Liaise with the landlord, cleaners and other suppliers.
  • \n
  • Manage office keys, alarms and access arrangements.
  • \n
  • Coordinate annual maintenance and compliance checks.
  • \n
  • Order office supplies, refreshments and studio consumables.
  • \n
  • Organise staff birthdays, cards and team celebrations.
  • \n
  • Organise work events (Summer, Christmas and Easter parties)
  • \n
  • Assist with insurance renewals and general office administration.
  • \n

HR & People Support

\n
    \n
  • Coordinate holiday requests and maintain absence records.
  • \n
  • Support onboarding of new employees, including equipment and account setup.
  • \n
  • Assist with offboarding processes.
  • \n
  • Coordinate recruitment interviews and candidate communications.
  • \n
  • Arrange staff review meetings and maintain associated documentation.
  • \n

Travel & Logistics

  • Book business travel including flights, trains, taxis and accommodation.
  • \n
  • Prepare travel itineraries and supporting information.
  • \n
  • Research travel options and coordinate logistics with clients and team members.
  • \n
\n

Studio Operations

\n
    \n
  • Maintain company subscriptions and online accounts.
  • \n
  • Manage office purchasing and supplier orders.
  • \n
  • Keep internal records organised and up to date.
  • \n
  • Support updates to the studio website with new project content.
  • \n
\n

Skills & Experience

Essential:

  • Previous experience in an administrative, studio assistant, office coordinator or similar role.
  • \n
  • Experience coordinating travel and office operations.
  • \n
  • Excellent organisational and time management skills.
  • \n
  • Strong written and verbal communication skills.
  • \n
  • Proficiency in Microsoft Office, Adobe Acrobat.
  • \n
  • Ability to work independently and manage competing priorities.
  • \n

Desirable:

  • Experience within an interior design, architecture, creative or professional services environment.
  • \n
  • Experience managing and liaising with external IT.
  • \n
\n
