Personal Assistant within Investment Banking£56,000City of London10/11-month Fixed Term ContractHybrid – 3:2Excellent benefits We are seeking a proactive, enthusiastic and experienced Personal Assistant to provide comprehensive secretarial and administrative support to two Managing Directors: The Group Chief Information Officer, and the Group Head of Sustainability while the existing Personal Assistant is on maternity cover. What you’ll do:\n

- Proactive diary management, organising internal and external meetings (including booking meeting rooms), conference calls, dinners and events. \n
- Monitoring and prioritising inbox activity, flagging key and time-sensitive emails. \n
- Forwarding relevant emails onto the team members when necessary; actioning where appropriate. \n
- Dealing with all communication - phone, email and other channels in a professional manner, taking accurate messages and responding promptly and appropriately. \n
- Managing email communication by flagging urgent requests by tracking actions and following up as necessary. \n

- Building strong relationships and liaising effectively with internal teams, senior management, PAs, stakeholders and external partners \n
- Action tracking to ensure actions are met, both in the diary and in a tracker tool. \n
- Maintaining the IT Group meeting planner; keeping this up to date with proposed meetings and topics. \n
- Reconciling expenses and claims promptly and accurately. \n
- Preparing, formatting and amending documents to a high professional standard. \n
- Liasing with the Recruitment team to organise interviews for roles within IT and Group Sustainability. \n
- Onboarding new joiners and processing leavers, ensuring all systems, access permissions and documentation are updated correctly. \n
- Support events where required with administrative tasks \n

- Previous senior-level PA or administrative experience supporting senior individuals. \n
- Banking/Financial Services experience is a must. \n
- Advanced IT proficiency, including Outlook, Word, Excel, PowerPoint and Teams. \n
- Strong organisational skills with the ability to prioritise, multi-task and manage competing deadlines while maintaining exceptional attention to detail in a fast-paced environment. \n
- Excellent interpersonal and communication skills, with the ability to engage effectively and professionally at all levels internally and externally. \n
- Ability to anticipate and resolve issues in advance, including managing conflicting meetings, diary pressures and changing priorities. \n
- High level of confidentiality, discretion and professional integrity when handling sensitive information, documents and matters. \n
- Proactive, solutions-focused approach with strong judgement and the ability to work autonomously and independently with limited direction. \n
- Self-motivated, efficient, reliable and resilient, with a positive, “can-do” attitude. \n
