Customer Service & Order Management Coordinator

Location: Newbury, BerkshireHours: 37.5 hours per weekReporting to: Operations Manager

Reed Recruitment is partnering with our client, a leading organisation within the medical device sector, to recruit a Customer Service & Order Management Coordinator.

\n

This is a varied role focused on delivering excellent customer service, processing orders from receipt to delivery, and supporting operational activities across the business. The successful candidate will work closely with customers, sales teams, and internal departments to ensure a seamless customer experience.

\n

Key Responsibilities

\n
    \n
  • Act as the first point of contact for customer enquiries via phone and email.
  • \n
  • Process customer orders, loan sets and consignment requests through to dispatch and delivery.
  • \n
  • Manage back orders, quotations, pricing queries and tracking requests.
  • \n
  • Maintain accurate customer accounts and records.
  • \n
  • Prepare invoices following order dispatch.
  • \n
  • Resolve customer issues and complaints professionally and efficiently.
  • \n
  • Produce reports and maintain accurate order documentation.
  • \n
  • Support warehouse activities relating to order preparation and dispatch when required.
  • \n
  • Ensure compliance with Quality Management Systems (QMS) and contribute to continuous improvement initiatives.
  • \n
  • Provide cross-functional support and assist with departmental cover during periods of absence.
  • \n
  • Undertake additional duties as reasonably required.
  • \n

Skills & Experience

\n

Essential

\n
    \n
  • Previous experience within the medical device industry, including sterile and non-sterile implantable devices.
  • \n
  • Strong customer service, order processing and administrative experience.
  • \n
  • Excellent verbal and written communication skills.
  • \n
  • Strong organisational skills with the ability to prioritise workloads effectively.
  • \n
  • High attention to detail and accuracy.
  • \n
  • Proficient in Microsoft Office applications, including Word, Excel and Outlook.
  • \n
  • Ability to work independently and as part of a team.
  • \n
  • Professional telephone manner and strong problem-solving abilities.
  • \n
  • Experience contributing to process improvement initiatives.
  • \n
\n

Desirable

\n

  • Experience working within a professional office environment.
  • \n
  • A Levels or equivalent qualifications.
  • \n
  • Experience using ERP systems, ideally Cin7.
  • \n
\n
