\nMy client is a true leader in their field and has been trading for over 10 years with year-on-year growth over this time.
\nThey are now looking for a highly organised Operations Coordinator to join their friendly office team and play a central role in keeping their service running smoothly.
\nThe Opportunity
\nThis is a pivotal position acting as the link between clients and field personnel. You will take full ownership of scheduling activities — from initial enquiry through to completed appointment — ensuring efficient diary management and excellent customer experience.
\nThis role is ideal for someone who thrives on organisation, enjoys problem-solving, and takes pride in delivering a seamless, well-structured operation.
\nKey Responsibilities
\nClient Liaison
\n- \n
- Act as first point of contact via phone and email, delivering a professional and responsive service \n
- Manage booking enquiries, reschedules and general queries \n
- Build and maintain strong relationships with clients, including proactive management of repeat/annual bookings \n
- Handle last-minute changes and resolve scheduling issues with minimal disruption \n
Scheduling & Coordination

- Plan and manage field diaries, balancing client needs with operational efficiency \n
- Organise appointments geographically to optimise travel and productivity \n
- Confirm bookings with both clients and field staff \n
- Monitor schedules to identify and resolve gaps, clashes or inefficiencies \n
Operations & Administration
\n- \n
- Maintain accurate client and job records within a CRM system \n
- Coordinate documentation flow including job sheets and certificates \n
- Support timely delivery of service documentation to clients \n
- Identify and escalate operational improvements where appropriate \n
Skills & Experience
\nEssential
\n- \n
- Proven experience in scheduling, coordination, or diary management (e.g. field service, logistics, healthcare or similar) \n
- Excellent communication skills, both written and verbal \n
- Strong organisational skills with high attention to detail \n
- Confident using systems and software (CRM or scheduling tools) \n
- Ability to manage multiple priorities in a fast-paced environment \n
- Calm, solution-focused approach under pressure \n
- Self-motivated with the ability to work both independently and within a small team \n
Desirable
\n- \n
- Experience coordinating a mobile or field-based workforce \n
- Familiarity with CRM/database systems \n
- Understanding of geographic planning or routing \n
