Head Office Administrator - Temporary Contract (3 months)

Edinburgh (EH11)Salary: Competitive (DOE)Hours: 35 hours per week | Flexible working hours between 8am and 6pm

The Opportunity

\n

An established values-led organisation based in Edinburgh is seeking an experienced and highly organised Head Office Administrator to provide comprehensive administrative and secretarial support to its senior leadership team.

\n

This is a varied role offering the opportunity to support governance activities, recruitment processes, HR administration, employee records management, training coordination, and the smooth day-to-day operation of a busy head office.

\n

Key Responsibilities

Executive & Governance Support

\n
    \n
  • Provide high-quality administrative and secretarial support to the CEO and Management Team.
  • \n
  • Attend Board meetings and produce accurate minutes and meeting documentation.
  • \n
  • Deliver confidential administrative support to the Board of Trustees.
  • \n
\n

Recruitment & HR Administration

\n
    \n
  • Coordinate the full administrative process for recruitment and selection activities.
  • \n
  • Prepare contracts of employment, offer letters and contractual amendments.
  • \n
  • Arrange interviews, meetings and employee-related correspondence.
  • \n
  • Maintain recruitment records and ensure processes comply with equality and diversity requirements.
  • \n

Employee Records & Systems

\n
    \n
  • Administer Disclosure Scotland processes and associated compliance requirements.
  • \n
  • Maintain accurate employee records and training data.
  • \n
  • Liaise with IT support to arrange user accounts, email access and permissions for new starters.
  • \n
  • Act as a key contact for staff system access queries and support.
  • \n
\n

Training & Internal Communications

\n
    \n
  • Coordinate mandatory and professional development training programmes.
  • \n
  • Prepare and distribute regular staff communications and organisational updates.
  • \n
  • Ensure employees receive timely and accurate information.
  • \n
\n

Office Administration

\n
    \n
  • Provide reception and telephone cover when required.
  • \n
  • Support the efficient running of the Head Office environment.
  • \n
  • Order office supplies and maintain administrative systems.
  • \n
  • Respond professionally to enquiries from staff, stakeholders and external contacts.
  • \n

About You

\n

To be successful in this role, you will have:

\n
    \n
  • Previous experience within a senior administrative, executive support, office management or HR administration role.
  • \n
  • Excellent organisational and time-management skills.
  • \n
  • Strong minute-taking and document preparation experience.
  • \n
  • Exceptional attention to detail and accuracy.
  • \n
  • Excellent verbal and written communication skills.
  • \n
  • Proficiency in Microsoft Office applications.
  • \n
  • Experience handling confidential information with discretion and professionalism.
  • \n
  • The ability to manage multiple priorities and work independently when required.
