Administrative Assistant
Hours: Monday - Friday, 8:30 AM - 5:00 PM
We are seeking a polished, organized, and dependable Administrative Assistant to support our leadership team and help keep daily office operations running smoothly. This is a great opportunity for someone who enjoys a variety of responsibilities including administrative support, recruiting coordination, HR administration, and office management. Legal Secretary experience is a plus.
Key Responsibilities
Administrative & Office Support • Provide administrative support to leadership and department managers • Manage calendars, schedule meetings, and coordinate company events • Handle incoming mail, correspondence, and general office communications • Order office supplies and maintain inventory • Coordinate employee lunches, celebrations, and company events • Assist with office operations, vendor coordination, and office equipment • Support workspace setup for new and existing employees
Human Resources Support • Assist with new hire onboarding and orientation • Process and maintain employee paperwork and personnel records • Track PTO and attendance records • Support benefits administration and employee communications • Assist with 401(k), COBRA, and unemployment-related documentation • Help maintain accurate and confidential employee records
Recruiting Coordination • Post job openings and manage applicant flow • Source and screen candidates for open positions • Schedule interviews and coordinate hiring activities • Maintain recruiting records and applicant tracking systems • Build candidate pipelines for current and future hiring needs
Payroll & Compliance • Assist with payroll processing and employee record maintenance • Support compliance with company policies and employment regulations • Ensure accuracy of HR-related documentation and records
Technology & Office Operations • Coordinate equipment and system setup for new employees • Assist with office technology and equipment requests • Work with IT and vendors to ensure employees have the tools they need
Qualifications • 5+ years of administrative support experience • Strong organizational and multitasking abilities • Excellent attention to detail and follow-through • Strong verbal and written communication skills • Professional phone etiquette and customer service skills • Ability to handle confidential information with discretion • Positive, team-oriented attitude • Ability to prioritize and manage multiple responsibilities effectively
Technical Skills • Microsoft Office (Word, Excel, Outlook, PowerPoint) • Google Workspace (Gmail, Docs, Sheets, Drive, Calendar) • Strong computer and data entry skills
Preferred Experience • Legal Secretary background • Human Resources administrative experience • Payroll processing experience • Experience working with HRIS or applicant tracking systems
