Job Description
The Receptionist and Legal Secretary will provide administrative and secretarial support, ensuring seamless day-to-day operations for attorneys and the Office Administrator in Palm Beach Gardens. This role requires excellent organizational skills and attention to detail to manage communications, documentation, and scheduling effectively. Client Details This long-standing firm has offices across CT and FL. This role is onsite in their Naples location. The firm is well known for the great tenture of their staff, stability, and strong collaborative culture. Description Manage incoming calls, emails, and correspondence with professionalism and efficiency. Maintain and update schedules, appointments, and meetings for team members. Prepare, proofread, and format legal and business documents accurately. Handle filing, scanning, and organization of sensitive documents. Coordinate with clients and external stakeholders to ensure smooth communication. Support office operations, including ordering supplies and maintaining office equipment. Assist in preparing presentations and reports as needed. Provide general administrative support to the team as required. Profile A successful Receptionist and Legal Secretary should have: Strong organizational and multitasking skills to handle diverse responsibilities. Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook. Administrative experience in a law firm setting. Effective written and verbal communication skills for client and team interactions. Attention to detail, ensuring accuracy in document preparation and scheduling. Ability to maintain confidentiality and handle sensitive information with discretion. Experience in a professional services or legal environment is preferred.
