Responsibilities
Payroll
- Process multiple weekly payrolls for approximately 50 employees.
- Review and validate employee timecards and payroll entries for accuracy.
- Resolve payroll discrepancies and make necessary corrections in a timely manner.
- Create and upload direct deposit files through banking platforms.
- Print and distribute payroll checks and pay stubs.
- Process payroll tax filings and related reporting requirements.
- Generate payroll general ledger reports and reconcile payroll activity.
- Prepare union reports and process union benefit payments.
- Assist with quarterly and year-end payroll tax reporting.
- Enter vendor invoices and maintain accurate AP records.
- Process check runs and electronic payments.
- Set up new vendors and maintain vendor information.
- Collect and manage W-9 documentation.
- Coordinate ACH setup and verification with vendors and financial institutions.
- Support annual 1099 reporting and vendor compliance activities.
- Generate and upload daily positive pay reports.
- Monitor daily banking transactions, deposits, and online payments.
- Review and resolve positive pay exceptions.
- Perform monthly bank reconciliations for operating and payroll accounts.
- Apply customer payments and maintain accurate receivable records.
- Research and resolve payment discrepancies as needed.
- 7-10 years of bookkeeping and accounting experience with responsibility across payroll, AP, reconciliations, and general accounting functions.
- Construction, contracting, or service-related industry experience preferred.
- Strong payroll processing experience, including tax and union reporting.
- Experience with accounts payable and vendor management.
- Proficiency with Microsoft Office and Microsoft 365 applications.
- Experience with Sage 300 CRE is highly preferred.
- Exceptional organizational skills and attention to detail.
- Strong analytical and problem-solving abilities.
- Self-starter who can work independently while collaborating effectively with a team.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
