We are seeking an experienced Legal Secretary / Paralegal to support an attorney focused on commercial real estate development, including the ownership, operation, and management of retail and office properties. This is an opportunity for a highly organized, detail-oriented professional with substantial experience in real estate transactions and the ability to thrive in a fast-paced, confidential legal environment.
Key Responsibilities
- Provide comprehensive administrative and legal support to a commercial real estate attorney.
- Prepare, revise, and proofread legal documents including leases, purchase/sale agreements, amendments, assignments, estoppels, and development-related contracts.
- Coordinate and manage real estate transactions from contract through closing, tracking deadlines and critical dates.
- Maintain and organize confidential legal files (physical and electronic).
- Interface professionally with tenants, brokers, lenders, title companies, attorneys, and internal staff.
- Manage calendars, schedule meetings, and coordinate closings.
- Handle correspondence, calls, and emails with professionalism.
- Assist with property-related matters for existing commercial developments.
Required Qualifications
- 3–5 years of experience as a legal secretary or assistant, with substantial exposure to commercial real estate.
- Demonstrated experience in purchases, sales, retail/office leasing, ground leases, and entitlement processes.
- Proficiency in Microsoft Office (Word, Excel, Outlook; PowerPoint a plus).
- Strong organizational skills, attention to detail, and ability to manage multiple deadlines.
- Excellent written and verbal communication skills.
- Professional demeanor, sound judgment, and discretion.
Preferred Qualifications
- Experience with in-house legal departments for real estate developers or property owners.
- Familiarity with commercial property management operations.
- Knowledge of document management systems and electronic filing.
