Downtown Chicago law office has immediate need for experienced Trusts, Estates and Corporate Administrative Assistant.


This is a 6 month contract to hire, hybrid in downtown Chicago, IL.


Must haves:

  • Corporate law experience
  • Experience within a law firm setting
  • 3+ years of administrative support experience


Ideal candidate:

  • At least 3 years of experience as an Administrative Assistant for a law firm is required.
  • The ideal candidate will possess strong organizational skills, with the ability to prioritize tasks and delegate to meet deadlines, work independently with little supervision, and have excellent written and verbal communication skills.
  • Attention to detail and problem-solving abilities, ability to handle confidential information with discretion and strong customer service orientation are required.
  • Must have proficient knowledge of DocuSign, Zoom and Microsoft Suite with advanced knowledge of Word, Excel and Teams.


Duties include:

  • Draft, format, proofread, and revise estate planning documents, including wills, trusts, powers of attorney, advance healthcare directives, and correspondence.
  • Draft, format, proofread, and revise corporate documents relating to mergers & acquisitions, divestures, formations and other transactional documents.
  • Prepare engagement letters.
  • Prepare calculations related to estates and trust.
  • Draft documents necessary to fund trusts.
  • Manage complex calendars, schedule appointments, and coordinate meetings, including videoconferences.
  • Maintain and organize electronic legal files, ensuring proper filing instructions and easy access to documents.
  • Manage attorney contacts and calendar.
  • Prepare and send corporate binders to clients.
  • Process expense reports and check requests.
  • Organize and prepare documents, information packets, and presentations..
  • Check for conflicts of interest when onboarding new clients.
  • Serve as backup for other administrative functions as needed.
