Contract – Open end contract (possibility to go perm)

Pay Rate – $19 USD hourly on W2

Shift: 8 AM – 5 PM (with some flexibility)

Job Description:

Position Overview:

We are seeking a detail-oriented and organized Administrative Assistant to provide onsite administrative and operational support within a manufacturing environment. This role requires strong communication skills, the ability to manage multiple priorities, and proficiency in Microsoft Office applications. The ideal candidate will serve as a key point of contact for internal teams and external partners while maintaining high standards of professionalism and confidentiality.

Key Responsibilities:

  • Administrative Support:
  • Manage calendars and coordinate scheduling for meetings and appointments.
  • Answer incoming phone calls and respond to emails in a timely and professional manner.
  • Support day-to-day administrative functions for the team.
  • Documentation & Record Keeping:
  • Maintain accurate electronic and physical filing systems.
  • Prepare and organize reports, presentations, and other documentation.
  • Ensure all records are updated, accessible, and compliant with company standards.
  • Office Coordination:
  • Monitor and order office supplies as needed.
  • Coordinate with vendors and IT support for office equipment and services.
  • Perform track and trace functions to monitor and follow up on key items/processes.
  • Communication & Coordination:
  • Act as a primary point of contact for internal staff and external clients.
  • Handle sensitive information with discretion and confidentiality.
  • Assist with cross-functional coordination within the manufacturing facility.

Required Qualifications:

  • High School Diploma or equivalent.
  • 3–5 years of administrative experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Experience with track and trace processes is required.

  • Organization & Time Management: Ability to prioritize tasks and manage multiple responsibilities efficiently.
  • Attention to Detail: High level of accuracy and professionalism in all work.
  • Technical Skills: Comfortable using Excel and other administrative tools.

Additional Information:

  • This is a fully onsite role (5 days per week)
