Administrative Assistant - Cleveland, OH - JOB 26-00502 Pay Range: $22.00 - $25.00/HR Full-Time Permanent Position with Benefits 1st Shift: 8:15 AM – 4:45 PM (M-F) A well-established manufacture in the greater Cleveland area is hiring an experienced, detail-oriented Administrative Assistant. This versatile role blends professional front-desk reception, general office administration, and fundamental accounting tasks-specifically focusing on Accounts Payable (AP) and basic Accounts Receivable (AR) support. Front Office & Reception Operate the main telephone switchboard, route calls appropriately, welcome incoming visitors, and manage the guest sign-in log. Receive, open, sort, and distribute incoming physical mail; prepare outgoing postage, and manage digital faxes via Microsoft Outlook. Accounts Payable & Accounting Support Process vendor invoices by verifying details, attaching corresponding documentation, assigning general ledger (GL) codes, and entering information into accounting software. Reconcile monthly vendor statements, investigate billing discrepancies, and process outgoing checks and ACH payments. Process daily shipments by printing and matching invoices to paperwork, mailing/emailing invoices to customers, and assisting with light collections by contacting accounts regarding payment status. Order office supplies, manage inventory levels, and perform routine office duties including photocopying, scanning, and filing. Coordinate food ordering, setups, and logistics for company breakfasts, luncheons, corporate meetings, off-site events, and holiday parties. Assist with special data projects using Microsoft Word and Excel, support year-end accounting audits, and provide backup coverage for customer service and human resources as needed. Requirements High school diploma or GED required. Minimum of 3+ years of dedicated Accounts Payable experience AND 3+ years of general office administration experience. Proficient in Microsoft Office (Word, Excel, Outlook); familiarity with Microsoft Access is a plus. Strong organizational skills, impeccable attention to detail, and excellent written and verbal communication. Ability to calculate basic formulas (addition, subtraction, multiplication, division), manage quantity/weight calculations, handle U.S. currency, and perform basic conversions (e.g., kilograms to pounds). Ability to comply with all company safety policies and occasionally lift or move office materials weighing up to 10 pounds.
