Project Coordinator – Applied Engineering Services

Insight Global Supporting PG&E
Location: San Ramon, CA
Hybrid: 2-3 days per week in office
Contract: 12-Month Ongoing Contract


About the Role

We are seeking a highly organized and proactive Project Coordinator to support multiple engineering service projects throughout their lifecycle. This role is responsible for coordinating project activities, tracking deliverables, maintaining documentation, supporting stakeholder communication, and assisting with operational and financial reporting. The ideal candidate will bring strong organizational skills, attention to detail, and the ability to work cross-functionally in a fast-paced environment.

Key Responsibilities

Project Coordination & Lifecycle Support

  • Support multiple concurrent projects through initiation, execution, and close-out phases.
  • Assist with defining project scope, identifying stakeholders, and maintaining communication plans.
  • Track project deliverables, milestones, and team activities to ensure alignment with Statements of Work (SOWs).
  • Maintain project financial trackers including burden tracking, accruals, and burndown reporting.
  • Monitor project schedules and escalate risks, issues, and delays when necessary.

Stakeholder & Team Coordination

  • Coordinate with 5+ stakeholders and cross-functional teams to support project execution.
  • Prepare and distribute weekly status reports, deliverable updates, and KPI tracking.
  • Support onboarding, team coordination, and resource management activities.
  • Help facilitate communication between project teams, consultants, and client stakeholders.
  • Identify communication gaps and work with project leadership to resolve issues.

Operational & Administrative Support

  • Create, update, and maintain project documentation and records.
  • Support the interview scheduling and onboarding process for consultant team members.
  • Assist with contract execution, change order tracking, and funding allocation management.
  • Organize meetings, prepare agendas, document action items, and ensure follow-up completion.

Reporting & Communication

  • Develop and maintain weekly and monthly project reports.
  • Collect, organize, and synthesize information from field engineers and consultants.
  • Ensure project documentation is accurate, current, and accessible.
  • Communicate effectively with internal teams, vendors, consultants, and clients.

Qualifications

  • 3+ years of project coordination, project support, or project management experience.
  • Proven ability to work with internal and external stakeholders.
  • Proficiency in Excel (beginner to intermediate), including custom report creation and data tracking.
  • Experience supporting difficult conversations, escalations, and team communications.
  • Demonstrated success working in fast-paced environments with competing priorities.
  • Strong track record of coordinating across teams and supporting milestone delivery.
  • Willingness to travel for work-related purposes.
  • Flexibility to work occasional weekends with advance notice.
