Job Description

Reed Business Support are recruiting for a Facilities Coordinator on behalf of a well-established organisation. This is an excellent opportunity for an experienced facilities professional who enjoys a varied role, can manage multiple priorities, and thrives in a fast-paced environment.

As the appointed Facilities Coordinator, you will support the smooth running of company facilities, logistics operations, supplier relationships and office administration while supervising a small support team.

About the Role

\n

Reporting to senior management, your responsibilities will include:

\n

Facilities Management

\n
    \n
  • Oversee the day-to-day management of office facilities and maintenance.
  • \n
  • Manage supplier contracts including cleaning, waste, air conditioning, security systems and alarms.
  • \n
  • Coordinate office repairs, furniture maintenance and workplace improvements.
  • \n
  • Support company insurance renewals and related administration.
  • \n
  • Ensure fire safety equipment, compliance records and documentation remain up to date.
  • \n
  • Act as the main point of contact for facilities-related enquiries.
  • \n
  • Manage office parking permits and general office upkeep.
  • \n

Logistics Management

  • Coordinate company fleet administration, including fuel cards, insurance, fines and vehicle enquiries.
  • \n
  • Assist with fleet compliance, vehicle incidents and insurance claims.
  • \n
  • Administer road charges, permits and travel-related requirements.
  • \n
  • Arrange train travel and hotel accommodation for employees.
  • \n
  • Liaise with suppliers and service providers to ensure efficient logistical support.
  • \n

Leadership & Administration

  • Supervise and support three direct reports covering compliance, IT administration, office administration and health & safety support.
  • \n
  • Manage purchasing accounts, office supplies and general administration.
  • \n
  • Maintain accurate records, reporting and documentation.
  • \n
  • Build strong relationships with internal departments, contractors and suppliers.
  • \n
  • Provide regular operational updates to senior management.
  • \n

About You

\n
    \n
  • Previous experience within Facilities, Office Management, Operations or a similar role.
  • \n
  • Experience managing suppliers, contractors and service agreements.
  • \n
  • Supervisory or line management experience.
  • \n
  • Strong organisational and problem-solving skills.
  • \n
  • Excellent communication and stakeholder management abilities.
  • \n
  • Good understanding of workplace compliance and health & safety requirements.
  • \n
  • Proficient in Microsoft Office and business systems.
  • \n
  • A proactive, hands-on approach with the ability to manage competing priorities.
  • \n
