Job Description
Assistant Transport Manager
\nWorking hours: 8am to 4pm Monday to Friday - 100% on site.
\nTo ensure continuity of Transport operations by providing operational support to the Transport Manager and ensuring compliance with the Company's legal & other responsibilities.
\nKey Duties & Responsibilities
\nFleet Compliance & Maintenance
\n- \n
- Coordinate and monitor all Planned Maintenance Inspections (PMIs), Road Roller Brake Tests (RRBTs), servicing, and scheduled vehicle maintenance activities. \n
- Produce and communicate weekly maintenance schedules to drivers, the traffic office, workshop personnel, and management teams. \n
- Ensure vehicles are presented correctly for inspections and maintenance appointments, including arranging vehicle washing and tyre checks prior to attendance. \n
- Monitor upcoming maintenance requirements and proactively plan vehicle availability to minimise operational disruption. \n
- Liaise with vehicle manufacturers, dealerships, and external maintenance providers to arrange repairs and servicing under Repair & Maintenance (R&M) agreements. \n
- Work closely with workshop and tyre bay teams to ensure all reported defects are investigated and rectified promptly. \n
Vehicle Defect Management
\n- \n
- Monitor daily vehicle defect reports and ensure defects are actioned within agreed timescales. \n
- Communicate repair requirements to workshop teams and provide updates to drivers. \n
- Verify that defects are repaired, closed out, and appropriately documented. \n
- Support the management and monitoring of fleet roadworthiness standards across all vehicle types. \n
MOT & Testing Coordination
\n- \n
- Manage the scheduling and preparation of all MOT inspections and statutory testing requirements. \n
- Coordinate pre-MOT inspections and repair work to maximise first-time pass rates. \n
- Liaise with dealerships and approved testing facilities to secure testing appointments. \n
- Ensure vehicles are prepared to the required standard, including MOT washes, tyre replacement programmes, and compliance checks. \n
- Track upcoming MOT dates and maintain an accurate testing schedule for the fleet. \n
Fleet Inspections & Audit Checks
\n- \n
- Monitor and record weekly wheel torque checks. \n
- Conduct regular vehicle gate checks to verify roadworthiness, legal compliance, and presentation standards. \n
- Carry out compliance spot checks across the fleet and escalate any issues identified. \n
- Support transport audits and maintain records required for compliance inspections and operator licence obligations. \n
Driver Support & Communication
\n- \n
- Act as a primary point of contact for drivers regarding fleet, maintenance, and compliance matters. \n
- Provide guidance to drivers on reporting defects and following company transport procedures. \n
- Build strong working relationships with drivers, workshop teams, management, and external suppliers. \n
Health, Safety & Compliance
\n- \n
- Ensure compliance with all company Health & Safety policies, procedures, risk assessments, and safe systems of work. \n
- Promote a positive safety culture throughout the transport operation. \n
- Report accidents, incidents, hazards, and near misses in accordance with company procedures. \n
- Support continuous improvement initiatives relating to fleet safety, compliance, and operational standards. \n
Essential
\n- \n
- Previous experience within a transport, logistics, fleet, or vehicle compliance environment. \n
- Strong understanding of HGV fleet maintenance and defect management processes. \n
- Strong communication and stakeholder management abilities. \n
