Job Description
Rates: £192.30/day PAYE (flat rate) or £261/day via umbrella
\nLocation: London
\nThe contract length is 3rd August 2026 to 4th Sept 2026. Hours per Week: 37.5.
\n\nJob Purpose
\nProvide high-level administrative, organisational, and operational support to senior leadership, enabling them to focus on strategic priorities. Manage day-to-day executive support activities, ensure the smooth running of the department, and act on behalf of the executive within agreed areas of responsibility.
\n\nKey Responsibilities

- Manage complex calendars, meetings, and priorities across multiple time zones. \n
- Serve as the primary point of contact for the leadership team, responding to enquiries and coordinating requests. \n
- Arrange domestic and international travel, including flights, accommodation, visas (where applicable), and detailed itineraries. \n
- Process travel expenses in accordance with company policy. \n
- Raise purchase orders and process invoices in line with company procedures. \n
- Coordinate meeting logistics, including video conferencing and virtual meeting technology. \n
- Handle office administration, including IT and facilities requests. \n
- Prepare, format, and distribute presentations, reports, meeting papers, and other business documents. \n
- Organise internal events, leadership meetings, town halls, and team activities. \n
- Support departmental projects and provide administrative assistance to other team members as required. \n
- Exercise sound judgement when acting on behalf of the executive within delegated authority. \n
Skills & Experience
\nEssential
\n- \n
- Previous experience supporting senior executives or leadership teams as an Executive Assistant or Personal Assistant. \n
- Excellent organisational skills with the ability to manage multiple priorities and changing deadlines. \n
- Strong diary management experience, including coordinating across different time zones. \n
- Proficient in Microsoft Office, particularly Outlook, Word, PowerPoint, and Excel. \n
- Experience using travel and expense management systems (e.g. Concur or similar). \n
- Experience using virtual meeting platforms such as Microsoft Teams, Zoom, Webex, or similar. \n
- Excellent written and verbal communication skills with exceptional attention to detail. \n
- Ability to handle confidential information with discretion, professionalism, and integrity. \n
- Strong problem-solving skills with a proactive, solutions-focused approach. \n
- Ability to remain calm under pressure and adapt quickly to changing priorities. \n
