Systems Administrator
Job Description
Role Purpose
\nEstablished in 2007, Select Lifestyles Limited provides support to adults with learning disabilities and complex needs within our residential homes, supported living schemes and day centres across the West Midlands.
\nTo provide administrative support for workforce systems, ensuring user accounts and workforce information are maintained accurately, securely and in compliance with organisational policies, GDPR requirements and CQC regulatory standards. The postholder will support the effective operation of workforce systems used across care services and provide accurate workforce information to support operational, audit and compliance requirements.
\nKey Responsibilities
\nSystems Administration
\n•
\nAdminister user accounts across company workforce and operational systems.
\n•
\nSet up, amend and remove employee system access in accordance with approved procedures.
\n•
\nSupport managers and colleagues with workforce system queries and troubleshooting.
\n•
\nEscalate technical issues to system suppliers, IT providers or line management as appropriate.
\n•
\nMaintain system documentation, user guides and standard operating procedures.
\n•
\nAssist with system testing, upgrades and implementation of new functionality where required.
\n•
\nUpdate monthly service budgets, ensuring services are within approved financial limits
\n•
\nMonitor timesheets ensuring that they are completed accurately prior to payroll lockdown.
\nWorkforce Data Administration
\n•
\nMaintain accurate workforce records across workforce systems and databases.
\n•
\nExtract, collate and validate workforce information from company systems.
\n•
\nPerform routine data quality checks and resolve discrepancies, escalating any complex issues.
\n•
\nEnsure workforce information is stored securely and handled in line with GDPR, Data Protection legislation and company policies.
\n•
\nSupport the maintenance of workforce records required for safer recruitment, compliance monitoring and regulatory inspections.
\n•
\nEnsure workforce data supports service compliance with CQC and other regulatory requirements.
\nReporting Support
\n•
\nProduce routine workforce reports using Microsoft Excel and approved reporting tools.
\n•
\nSupport managers with rota, attendance, workforce and staffing information.
\n•
\nAssist in monitoring annual leave, sickness absence, training compliance and staffing records.
\n•
\nPrepare workforce information required for audits, inspections, regulatory returns and internal reporting.
\n•
\nSupport the production of workforce metrics and key performance indicators.
\nCustomer Support
\n•
\nProvide professional and timely support to system users across all services.
\n•
\nAssist with workforce systems training and guidance for managers and employees.
\n•
\nPromote good workforce data recording practices across the organisation.
\n•
\nSupport colleagues in maintaining accurate information required for safe and effective care delivery.
\nGeneral Responsibilities

\nGood IT skills and confidence using Microsoft Office applications.

\nAbility to organise and prioritise own workload.
\n•
\nInterest in HR, workforce systems, data analysis.
\nDesirable
\n•
\nExperience of using Excel or databases.
\n•
\nExperience in social care, healthcare or the voluntary sector.
\n•
\nKnowledge of CQC requirements, reporting and regulatory compliance.
