Why This Role Exists
This role plays an important supporting part in how MRP serves its clients and manages its business behind the scenes. The Operations Administrative Assistant helps keep commission tracking, client records, quotes, proposals, and follow-ups organized and moving — so nothing gets missed and the team can focus on serving clients well.
This is a hands-on, trainable role — no technology industry background is required, and you'll be taught our systems and processes step by step. That said, this is a serious role that requires strong administrative skills, a college degree, and comfort learning new technology quickly. Over time, you'll grow into greater ownership of these responsibilities.
Primary Responsibilities
Commission & Payment Support
Help enter and track commission and spiff payments in HubSpot; assist with identifying missing or short-paid commissions; support monthly reconciliation and reporting.
Quote & Proposal Support
Help request supplier quotes and follow up on outstanding requests; assist in preparing client proposals and scheduling review meetings.
Order & Records Support
Help review completed deals and submit signed orders and documentation to suppliers; maintain accurate order and account records in HubSpot.
Pipeline & Follow-Up Support
Help keep active opportunities moving by tracking follow-ups, rescheduling meetings as needed, and keeping next steps updated in HubSpot.
Contract Renewal Support
Help track upcoming contract renewal dates and support outreach ahead of expiration; assist in scheduling related discovery meetings.
Client Support
Help schedule check-ins with clients, assist with satisfaction outreach, and keep client notes accurate and organized.
Referral Partner Support
Help prepare referral partner reports and support communication and meeting scheduling with referral partners.
Who Does Well in This Role
People who are organized, dependable, and detail-oriented — and who take initiative and follow through on what they commit to. No technology industry background is required, but strong administrative skills, solid Excel and Microsoft Office ability, and comfort picking up new software quickly are essential. We're looking for someone bright, coachable, and serious about doing quality work.

This role isn't a fit for someone who needs frequent reminders to stay on task, struggles to follow through on commitments, or is uncomfortable learning new systems and processes.
Preferred Qualifications
- Bachelor's degree required
- 2–5 years of professional experience (office, administrative, or customer-facing experience welcome)
- Strong administrative skills with excellent attention to detail
- Quick to learn and adapt to new technology and software
- Strong Excel and Microsoft Office application skills
- Familiarity with CRM applications (HubSpot, Salesforce, Zoho, Dynamics, or similar)
- Strong organizational and communication skills
- Ability to manage multiple tasks at once
