\nRole Purpose
\nThe Finance Administrator supports the Head of Finance with the day-to-day running of the finance function. You will be responsible for accurate transaction processing, record keeping, and financial administration, ensuring invoices, payments, expenses, and reconciliations are completed correctly and on time. This is an excellent role for someone with solid finance administration experience who wants to develop within a professional, fast-paced environment.

\nJob Specification
\nAccounts Payable & Payments
\n- \n
- Process purchase invoices accurately and on time, ensuring correct approval before payment. \n
- Prepare supplier payment runs for authorisation and manage outstanding supplier balances. \n
- Respond to supplier queries and maintain good supplier relationships. \n
Sales Invoicing & Credit Control
\n- \n
- Prepare, issue, and track sales invoices, ensuring accuracy and alignment with client contracts. \n
- Support credit control by monitoring outstanding balances and following up on overdue invoices. \n
- Respond to enquiries from clients and internal stakeholders regarding account status and transactions. \n
Records, Reconciliations & Month-End
\n- \n
- Maintain accurate and well-organised financial records in Xero. \n
- Complete bank and account reconciliations and resolve discrepancies in a timely manner. \n
- Assist the Head of Finance with month-end processes and the preparation of financial reports. \n
- Maintain organised supporting documentation so records are always audit-ready. \n
Expenses & Staff Administration

- Administer staff expense cards, expense requests, and reimbursements. \n
- Oversee and reconcile staff expense claims, ensuring receipts and approvals are in place. \n
Tax & Compliance Support
\n- \n
- Assist in the preparation of VAT returns and gather supporting information for tax submissions. \n
- Support the Head of Finance in liaising with external accountants and tax specialists on VAT and Corporation Tax matters. \n
- Handle all financial and client data in line with confidentiality obligations and UK GDPR. \n
General
\n- \n
- Collaborate with other departments to ensure accurate financial data is maintained. \n
- Provide ad hoc administrative and finance support as directed by the Head of Finance. \n
PERSON SPECIFICATION
\nQUALIFICATIONS
\nEssential:
\n- GCSE Maths and English at grade C/4 or above (or equivalent)
\nDesirable:
\n- AAT Level 2 or 3, achieved or studying towards (study support may be available)
\n- A-levels or equivalent further education
\n\nEXPERIENCE
\nEssential:
\n- Proven experience in a finance administration, accounts, or bookkeeping role
\n- Proficiency in Xero
\n- Experience processing invoices, payments, and reconciliations
\nDesirable:
\n- Experience with QuickBooks or Sage
\n- Experience in sports, entertainment, agency, or another client-facing professional environment
\n- Exposure to expense management or credit control
\n\nKNOWLEDGE & SKILLS
\nEssential:
\n- Strong understanding of accounts payable processes and financial record keeping
\n- Strong numerical skills and excellent attention to detail
\n- Competent Excel skills (lookups, basic formulas, tidy data handling)
\n- Strong written and verbal communication skills, able to deal professionally with stakeholders at all levels
\nDesirable:
\n- Awareness of VAT basics
\n- Interest in developing towards a broader finance role

- £28,000 – £34,000 depending on experience. \n
- Hybrid working from a Mayfair base. \n
