Administrative Assistant 20 Hours Weekly
\n Willingboro School-Based Youth Program
\n Location: 20 S John F Kennedy Way Willingboro NJ 08046
\n Monday through Friday/10:00A-2:00P
\n $18-$22 per hour

MUST have:

\n
    \n
  • High school diploma or equivalent.
  • \n
  • 1-2 years clerical/secretarial experience preferable in a hospital or health care setting.
  • \n
  • Must have experience with high school students.
  • \n
  • Experience with Microsoft Office.
  • \n
\n

Reports directly: Program Director

\n

Manage daily operations of the programs front desk, including scheduling, billing, registering and phone. Greet visitors, students, and administrators. Maintain sign-in and out records and co-facilitate groups.

\n

Responsibilities:

\n
    \n
  • Performs secretarial duties necessary for administrative and/or clinical departments of the organization. Relieves department heads and other department supervisory personnel of routine and general office duties.
  • \n
  • Prepare and compose routine correspondence, memoranda, reports, etc.
  • \n
  • Receive and screen incoming calls, answering routine inquires and routing calls to appropriate individuals.
  • \n
  • Schedule and maintain calendar of appointments, meetings, and related arrangements.
  • \n
  • Open and distribute mail.
  • \n
  • Record, prepare, and distribute minutes of meetings.
  • \n
  • Work independently on special projects as assigned.
  • \n
  • Order supplies necessary for program.
  • \n
  • File documentation in the medical record.
  • \n
  • Enter patient registration and billing information into computer daily.
  • \n
  • Adheres to confidentiality of patients/families in CASTLE Outpatient Program.
  • \n

Qualifications:

\n
    \n
  • High school graduate or equivalent.
  • \n
  • 1-2 years clerical/secretarial experience preferable in a hospital or health care setting.
  • \n
  • Excellent communication, organizational and strong interpersonal skills required.
  • \n
  • Must have excellent telephone skills, knowledge of mental health language (DSM) preferred.
  • \n
  • Knowledge of office procedures, equipment and systems including telephone, fax, copy machine, calculator and knowledge of work processing packages.
  • \n
  • Knowledge of budgets and budget preparation preferred.
  • \n
