Workplace Coordinator

Schedule: Monday-Thursday, 8:30 AM to 1:30 PM (20-25 hours per week)

Position Overview

We are seeking a highly organized and customer-focused Workplace Coordinator to support daily office operations and create a positive workplace experience for employees and visitors. This role will serve as the primary onsite contact for the San Francisco office, ensuring the workplace remains welcoming, organized, and fully operational. The ideal candidate enjoys wearing multiple hats, coordinating vendors, supporting events, and providing exceptional office support in a professional environment.

Responsibilities
  • Serve as the primary onsite point of contact for employees, visitors, and workplace-related inquiries.
  • Maintain a welcoming, organized, and professional office environment.
  • Coordinate office snacks, beverages, kitchen supplies, and weekly lunch programs.
  • Support employee engagement activities, team events, and workplace initiatives.
  • Respond to and resolve day-to-day office requests in a timely manner.
  • Act as the liaison between the office, building management, and external vendors.
  • Coordinate service providers including cleaning, plant maintenance, deliveries, furniture vendors, and office suppliers.
  • Monitor office conditions and escalate facility issues as needed.
  • Support minor workplace improvement projects and office moves.
  • Assist with onboarding activities, including office orientation and workspace setup for new hires.
  • Coordinate visitor access and manage guest logistics.
  • Receive and distribute packages, deliveries, and office supplies.
  • Maintain inventory levels and coordinate replenishment of workplace essentials.
  • Support workplace documentation, recordkeeping, and operational tracking.
  • Support on-site logistics for internal meetings, company events, and visitor programs.
  • Help create a positive and engaging workplace experience for employees and guests.
Qualifications
  • 2+ years of experience in workplace coordination, office management, facilities coordination, hospitality, reception, or administrative support.
  • Experience managing vendors, office operations, and employee-facing services.
  • Strong organizational and multitasking skills with exceptional attention to detail.
  • Professional communication and customer service skills.
  • Proficiency with Microsoft Office Suite and/or Google Workspace.
  • Ability to work independently and take ownership of workplace operations.
  • Positive, proactive attitude with a focus on creating an excellent employee experience.
  • Supporting workplace operations in a corporate, technology, professional services, or startup environment.
  • Experience with onboarding support, vendor management, and facilities coordination.

Pay Details: $25.00 to $28.00 per hour
