Client Services Representative (Front of House / Business Centre) Salary: £26,000-£28,000 (DOE) Hours: Full-time, Mon-Fri, 08:30-17:00 Benefits: 25 days holiday, private healthcare, life assurance, pension, discretionary year-end bonus Location: Cardiff We are looking for a sharp, customer-first Client Services Representative to be the face of our business centre and keep day-to-day operations running smoothly. This is a brand-new site (24 offices / approx. 140 desks) with occupancy building over the coming months - ideal for someone who thrives in a hands-on, high-standards environment and is confident working independently. What you'll be responsible for Front of house & meeting rooms Own reception: greet visitors and occupiers professionally and build strong relationships fast. Keep reception and breakout areas immaculate and guest-ready at all times. Ensure reception cover is maintained 08:30-17:00. Manage meeting rooms end-to-end: bookings, set-ups, presentation, catering and AV readiness (liaising with AV support to fix faults quickly). Customer service & centre operations Deliver an outstanding occupier experience - anticipate needs, solve problems, follow up. Monitor the running and presentation of the centre; log, report and escalate issues promptly. Liaise with contractors and suppliers (cleaning, handyman, maintenance) to maintain service standards. Support move-ins and provide welcome packs, including Health & Safety information. Liaise with the internet/telephony provider where occupiers raise queries. Admin, billing & reporting Capture additional services (e.g., catering/ad hoc requests) and provide billing info within agreed timescales. Maintain accurate CRM records and activity logs. Support weekly/monthly reporting on sales and occupancy. Sales & marketing support Handle enquiries, coordinate viewings and support licence renewals (with senior oversight). Maintain relationships with brokers/agents and support local marketing and social media. Spot opportunities to increase revenue through centre products and services. What we're looking for Confident, polished and genuinely service-driven. Organised, detail-focused and able to juggle multiple priorities. Reliable, punctual and comfortable working independently. Background in reception, hospitality, serviced offices, facilities coordination or customer-facing admin is an advantage. Additional info You'll be based primarily on the first floor. A separate ground-floor reception team supports the wider building. Parking allocation is to be confirmed (likely available)
