HR Assistant - Fixed Contract 3-6 months
Job Description
We are working with a well-established global software business, and they are looking for an experienced HR Assistant to join the business ASAP for a 3-6 Month Fixed contract.
\nThis is an immediate need, and candidates need to be able to start on short notice (max 2 weeks). There is also an opportunity for the role to move into a permanent position once the contract has been completed.
\nThis is a hybrid role, 3 days in the office and 2 days home.
\nThe role would be ideal for candidates who have worked in a role that has involved high volume on-boarding (up to 30 per month), and ideally within a similar industry i.e. fast-paced technology, professional services, financial services or similarly high-growth environment would be an advantage
\nReporting into the Head of HR and working as part of the HR function, the role will own the end-to-end onboarding administration process, ensuring each new joiner has a smooth, well-coordinated and compliant experience. You’ll work closely with Recruitment, IT, Training, Office and hiring managers to ensure all pre-employment checks, documentation, system tasks and onboarding logistics are completed accurately and on time. Key duties will include;

- Working in a busy and fast paced role, responsible for Onboarding Coordination, New Joiner Administration, HR Administration, compliance, data reporting and assisting with other activities in the HR team \n
- Own and coordinate the full onboarding administration process for up to 30 new joiners per month. \n
- Issue employment contracts and relevant onboarding documentation \n
- Process online background screenings, reference checks and other pre-employment checks, tracking progress and following up where required. \n
- Act as the first point of contact for new joiner queries, including questions relating to onboarding, documentation, references and pre-employment checks. \n
- Maintain accurate onboarding trackers, checklists and People Ops records, ensuring data is complete, up to date and audit ready. \n
- Support the administration of leaver processes, including raising relevant tickets and ensuring key steps are completed. \n
- Coordinate onboarding schedules, liaising with the Training team to ensure induction dates and training sessions are booked in advance. \n
- Book meeting rooms, arrange lunches and coordinate practical logistics for induction sessions and new joiner events. \n
- Prepare new joiner kits and ensure all onboarding materials are ready ahead of each start date. \n
- Prepare weekly recruitment and onboarding reports, ensuring data is accurate, clear and useful for stakeholders. \n
- Provide first-line support for People Ops queries, triaging requests and escalating where appropriate. \n
For this role candidates will need to have proven experience within HR and have supported in a high-volume environment, managing all aspects of the onboarding process.
\nCandidates will need to hold excellent organisational and accuracy skills, plus be confident, hold strong communication and interpersonal skills. This is a busy and fast paced role, and they need candidates who can work autonomously.
