Position Summary
We are seeking a highly organized, proactive, and professional Executive Assistant to provide high-level administrative support to senior leadership. This role serves as a trusted partner to executives, ensuring efficient day-to-day operations through calendar management, meeting coordination, project support, travel arrangements, and executive communications. The ideal candidate excels in a fast-paced environment, exercises discretion with confidential information, and anticipates needs before they arise.

This role serves as a trusted partner to executives, ensuring efficient day-to-day operations through calendar management, meeting coordination, project support, travel arrangements, and executive communications. The ideal candidate excels in a fast-paced environment, exercises discretion with confidential information, and anticipates needs before they arise.
Responsibilities
- Manage complex calendars, scheduling priorities, and meeting logistics for executive leadership.
- Coordinate internal and external meetings, including preparation of agendas, materials, and follow-up action items.
- Screen and prioritize communications, correspondence, and requests on behalf of executives.
- Prepare reports, presentations, spreadsheets, and executive-level communications.
- Manage confidential and sensitive information with professionalism and discretion.
- Track priorities, projects, deadlines, and executive commitments to ensure timely completion.
- Organize executive meetings, strategic planning sessions, leadership meetings, and special events.
- Take meeting minutes and monitor follow-up items to completion.
- Coordinate catering, meeting space reservations, technology setup, and guest logistics.
- Assist with company events, leadership retreats, and off-site meetings.
- Arrange domestic and international travel, including flights, lodging, transportation, and itineraries.
- Prepare detailed travel schedules and supporting documents.
- Process executive expense reports and reimbursement requests.
- Coordinate Board of Directors and executive committee meetings.
- Prepare board packets, presentations, meeting materials, and minutes.
- Serve as a liaison between executive leadership, board members, staff, and external partners.
- Support strategic initiatives and special projects as assigned.
- 5+ years of Executive Assistant experience supporting senior leaders, executives, or C-level leadership.
- Exceptional organizational, multitasking, and prioritization skills.
- Strong written and verbal communication abilities.
- Proven ability to manage confidential information with discretion and sound judgment.
- Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Ability to adapt to changing priorities in a fast-paced environment.
- Strong attention to detail and problem-solving capabilities.
- Familiarity with expense management, HRIS, CRM, or project management systems
