Documentation Coordinator / Contract Specialist

Our client is a well-established organization with operations across multiple markets nationwide. They are seeking a Documentation Specialist to support transaction processing and ensure all funding documentation is accurate, complete, and compliant with internal requirements. This position works closely with internal teams, customers, vendors, lenders, and other stakeholders to facilitate the timely completion of transactions. This position is 100 onsite in Mason Ohio and will pay between $48K and $58K annually.

Job Duties
  • Prepare, review, and process documentation related to financing and funding transactions.
  • Verify pricing calculations, payment schedules, taxes, and other transaction details for accuracy.
  • Coordinate documentation requirements to support contract funding and system booking activities.
  • Work with vendors and external partners to gather invoices, equipment details, installation confirmations, and other required information.
  • Maintain consistent communication with customers, vendors, lenders, and internal departments throughout the transaction process.
  • Ensure documents align with approved transaction terms, company policies, and established procedures.
  • Complete post-funding and post-closing administrative activities in a timely manner.
  • Monitor transaction pipelines and manage multiple requests while meeting established deadlines.
  • Maintain organized and accurate records within company systems and databases.
  • Assist with process improvements and support operational initiatives as needed.
Requirements
  • Strong verbal and written communication skills.
  • Prior mortgage processing or mortgage closing experience is highly preferred.
  • Excellent customer service skills with the ability to work effectively with internal and external stakeholders.
  • Proficiency with Microsoft Office applications, including Word and Excel.
  • Strong attention to detail and commitment to accuracy.
  • Effective organization, prioritization, and time management abilities.
  • Ability to manage multiple assignments in a fast-paced environment.
  • Minimum of one year of experience preparing financial, lending, lease, or commercial documentation.
  • Experience working in a lending, financing, banking, mortgage, or related business environment is preferred.
  • Familiarity with financial, legal, or accounting terminology is a plus.
  • Experience working with document management or contract administration systems is preferred.
