Job Description
Reed is recruiting exclusively for a successful and growing international business seeking an exceptional Personal Assistant & Office Administrator. This is a key role supporting the CEO and leadership team, combining executive assistance, office administration, HR support, marketing coordination, compliance and business operations. The position is fully office-based, five days per week.
\nKey Responsibilities
\nExecutive Support

- Manage the CEO's diary, meetings and schedules. \n
- Organise meetings, prepare agendas, take minutes and track actions. \n
- Arrange international travel, accommodation and itineraries. \n
- Prepare presentations and business documents. \n
- Act as a key point of contact for the CEO. \n
Business Administration
\n- \n
- Coordinate weekly team meetings and maintain accurate records. \n
- Manage business documentation and team calendars. \n
- Support day-to-day business operations. \n
Health & Safety / Compliance
\n- \n
- Liaise with landlords and external providers. \n
- Maintain policies, procedures, risk assessments and compliance records. \n
- Coordinate annual servicing, fire safety and PAT testing requirements. \n
Insurance Administration
\n- \n
- Manage insurance documentation and policy renewals. \n
- Liaise with advisors and coordinate annual policy reviews. \n
HR Support
\n- \n
- Maintain employee records and HR documentation. \n
- Provide confidential administrative support. \n
- Coordinate employee celebrations and milestones. \n
- Liaise with payroll, pension, healthcare and benefits providers. \n
Marketing & Communications

- Support email marketing campaigns. \n
- Coordinate website updates with external agencies. \n
- Assist with wider marketing initiatives. \n
Office Management
\n- \n
- Manage office supplies, stationery and post. \n
- Support office operations and maintain a professional environment. \n
Charity & Community Projects

- Coordinate charitable initiatives and stakeholder engagement activities. \n
Candidate Requirements
\n- \n
- Experience as a PA, Senior PA, Office Administrator or Office Manager. \n
- Experience supporting senior stakeholders. \n
- Excellent organisational, communication and multitasking skills. \n
- Strong Microsoft Office skills. \n
- High levels of professionalism, discretion and confidentiality. \n
- Proactive, flexible and solution-focused approach. \n
- Ability to work independently and manage competing priorities. \n
