Hours: 09:00 – 17:30, Monday to Friday (Fully office-based)

Contract: Permanent

Locations: One role based in London (3 floors, approx. 100 staff) and one role based in Oxford (similar size)

Travel: Occasional travel required between offices

About the Role

\n

We are recruiting two Facilities Supervisors responsible for the day-to-day running and oversight of our London and Oxford offices. Each supervisor will lead a small on-site facilities team, manage contractors, ensure the effective operation of building services, and deliver exceptional support to staff.

\n

Reporting to the Facilities Manager, you will support the wider delivery of an efficient, compliant and cost-effective facilities service across the firm’s estate.

Key Responsibilities

Personalised Client Service

  • Support the Facilities Manager in implementing lifecycle maintenance plans
  • \n
  • Manage, liaise with, and coordinate all contractors on site
  • \n
  • Assist with energy management, carbon reduction and environmental initiatives
  • \n
  • Oversee SLAs, procedures, and building-related service delivery, including tenant issues and project works
  • \n
  • Act as the primary point of contact for staff at your location
  • \n
  • Set up meeting rooms, ensuring layouts, equipment and supplies meet internal requirements
  • \n
  • Provide occasional support to the Post Room, including sorting, distribution and collection activities
  • \n
  • Raise and resolve maintenance tasks via the CAFM system, ensuring timely follow-up and closure
  • \n

  • Provide day-to-day leadership and supervision of a small facilities team, ensuring consistent high-quality service delivery

  • Ensure adequate staffing levels and effective allocation of tasks

  • Act as an ambassador for the Facilities Department

  • Provide cover for colleagues across other firm locations when required
  • \n
  • Serve as the responsible person for operational issues at your site
  • \n
  • Act as the point of contact in the absence of the Facilities Manager
  • \n

  • Support continuous improvement of facilities management strategies to deliver cost-effective services
  • \n
  • Approve invoices within delegated authority and process them in a timely manner
  • \n
  • Ensure compliance with health, safety and welfare regulations

  • Support the delivery of ongoing archiving processes and project management activities
  • \n

Skills, Knowledge & Experience

\n

Essential

\n
    \n
  • Experience in a similar facilities or building management role
  • \n
  • Demonstrable experience supervising or overseeing a small team
  • \n
  • Experience managing contractors and monitoring performance
  • \n
  • Experience in archiving and supporting project-based work
  • \n
  • Experience in meeting room setup and workplace support functions
  • \n
  • Experience with CAFM systems for raising, tracking and resolving maintenance tasks
  • \n
  • Strong knowledge of Health & Safety legislation
  • \n
  • Full UK driving licence and willingness to travel
  • \n
  • Strong organisational, communication and interpersonal skills
  • \n

Desirable

  • FM-related qualification such as IOSH or NEBOSH
  • \n
  • Experience in multi-floor office environments
  • \n
  • Understanding of sustainability and energy management practices
