Our organization operates a residential treatment program specifically designed for adolescents dealing with Anorexia Nervosa, Bulimia Nervosa, Binge Eating Disorder, or Exercise Addiction.
At our facility, we guide adolescents and their families on the journey to complete recovery, equipping each young person with the tools to face life's challenges without the burden of an eating disorder. We offer compassion, education, and support to families, recognizing them as vital partners in the recovery journey. Our goal is to help each adolescent replace their eating disorder with healthy coping mechanisms and a profound understanding of how to lead a life that reflects their unique identity.
The Program Manager is responsible for overseeing all operational aspects of the program, aligning with our organization's philosophy and mission. This role includes managing the administrative functions of the facility to ensure that the clinical team can effectively perform their responsibilities while adhering to state and regulatory standards. The Program Manager will report daily to the Clinical Director and assist with admissions and client chart management. Additionally, this position will supervise facility-wide quality improvement and risk management initiatives, in collaboration with the Compliance Director.

Salary: $66,300 - $75,000 per year, based on experience

ResponsibilitiesFacility-Related Duties- Collect and organize data, schedule, and conduct quarterly mandated meetings for Joint Commission, state licensure, and OSHA.
- Act as the primary contact for all compliance, licensing, and facility-related matters.
- Collaborate with the Compliance Director to maintain program compliance with state licensing bodies and accreditation organizations.
- Ensure that facility inspections are current and that the premises comply with safety and building codes.
- Account for stored personal belongings and update logs as necessary.
- Participate in organization-wide compliance activities as needed.
- Oversee Emergency Management and Environment of Care, including coordinating fire drills and maintaining Emergency Management Plans.
- Update the Emergency Management binder with all admissions and discharges.
- Assist with scheduling needs in collaboration with the Clinical Director.
- In emergencies, remain onsite as part of the emergency response team until the situation is resolved.
- Complete and submit Quarterly Meeting Minutes to Compliance in a timely manner.
- Coordinate with the property manager to address facility needs.
- Manage the facility vehicle, including maintenance and logs.
- Facilitate communication with clients and their families.
- Record daily attendance and census in Salesforce by 9 AM local time, coordinating with Billing on authorizations.
- Establish and maintain all policies and procedures in collaboration with the Compliance Director.
- Manage Incident Reports and related documentation with the Clinical Director.
- Stay familiar with all client files and necessary information at all times.
- Assist in chart management to ensure all required documents are complete and signed.
- Attend and contribute to all required staff and management meetings, facilitating when necessary.
- Handle day-of admissions, including creating client charts and orienting clients and families to the program.
- Conduct tours for potential clients and visiting professionals.
- Ensure all admission and discharge surveys are provided and completed by clients.
- Support the milieu and provide additional coverage as needed.
- Ensure discharge documents are completed and that clients leave with all belongings.
- Oversee administrative office operations, including purchasing supplies.
- Complete credit card reconciliations and upload receipts monthly.
- Review all mail and manage accounting checks sent to the program.
- Send invoices to accounting for contractor payments.
- Create client binders and parent information packets.
- Update the CFO on new hires needing to be added to facility car insurance.
- Oversee daily operations, including administrative services and personnel management.
- Support facility staff in their job performance.
- Assist in required trainings for Joint Commission, OSHA, and State compliance.
- Issue and track mandated monthly training logs for all staff, including per diem employees.
- Ensure adherence to all organizational rules, policies, and guidelines.
- Coordinate with supervisors and Human Resources to keep staff compliant with Joint Commission requirements.
- Assist with orientation and onboarding of new hires.
- Help maintain up-to-date personnel files with Human Resources.
- Complete bi-weekly payroll for all staff.
- Be available for on-call duties as necessary.
- Exercise sound judgment while maintaining confidentiality and professionalism in all interactions.

- Perform other assigned tasks as required.
- Bachelor's Degree
- Experience in a supervisory or leadership role within a day treatment, residential, or hospital setting.
- CPR certification is required or must be obtained within 90 days of hire.
