The Opportunity\nAs Float Team Legal Secretary, you will provide high-quality secretarial and administrative support to Fee Earners, Managers and colleagues across multiple departments.
\nOne day you may be preparing urgent legal documents and correspondence. The next, you could be managing diaries, opening files, assisting with billing or supporting the wider Operations and Business Support teams.
\nYou will need to adapt quickly, manage competing priorities and maintain the same high level of accuracy and professionalism wherever you are working.

What You Will Be Doing\nYour responsibilities will include:

- Providing typing, secretarial and administrative support across different legal departments \n
- Supporting Fee Earners and Managers with changing workloads and priorities \n
- Preparing legal documents and correspondence using digital dictation, audio typing and word processing \n
- Producing first drafts of correspondence and documentation where appropriate \n
- Applying firm precedents, formatting standards and house styles \n
- Operating legal case management and document management systems \n
- Organising, storing and attaching documents to the correct electronic matters \n
- Opening, maintaining, closing and archiving client and matter files \n
- Preparing client care letters, terms and conditions and standard documentation \n
- Managing diaries, meetings, appointments and travel arrangements \n
- Supporting time recording, billing and other financial administration \n
- Monitoring compliance reports and supporting adherence to Lexcel standards \n
- Managing incoming and outgoing correspondence \n
- Reviewing and clearing scanned mail folders \n
- Communicating professionally with clients by telephone, email and in person \n
- Retrieving and processing original documents in line with compliance procedures \n
- Assisting with switchboard cover, outgoing post, hospitality and file archiving when required \n
- Supporting the wider Operations and Business Support teams \n
- Suggesting practical improvements that increase efficiency \n
- Maintaining strict confidentiality at all times \n
You will be organised, adaptable and confident working in a busy professional environment.
\nPrevious Legal Secretary experience would be highly advantageous, but applications may also be considered from experienced Legal PAs, Secretaries or Administrators from another professional services setting.
\nYou should have:
\n- \n
- Previous legal, professional secretarial or PA experience \n
- Experience using digital dictation or audio typing systems \n
- Strong Microsoft Office and Microsoft Word skills \n
- Accurate typing and document-production abilities \n
- Excellent spelling, punctuation and attention to detail \n
- Knowledge of document formatting, page breaks, justification and track changes \n
- The ability to organise and prioritise a varied workload \n
- Confidence adapting quickly to different teams and working styles \n
- The ability to remain calm and professional when priorities change \n
- Strong written and verbal communication skills \n
- A proactive and practical approach \n
- A genuine can-do attitude \n
- Strong teamwork and relationship-building skills \n
- A clear understanding of client confidentiality \n
Experience using iManage, Elite 3E, PDFDocs or DocuSign would be beneficial but is not essential.
