Job Description

Right Now Group are currently recruiting for an experienced Administrator on behalf of a well-established and fast-paced aviation business based at Heathrow Airport.

This is an excellent opportunity to join a busy operational environment, taking responsibility for a wide range of administrative duties supporting HR, security compliance, payroll administration, and general office operations. The successful candidate will play a key role in ensuring employee onboarding, airport security compliance, personnel administration, and office support activities are completed accurately and efficiently.

Working closely with HR, operational teams, the Shared Service Centre, and external agencies, you will help maintain compliance with aviation security requirements while delivering a high standard of administrative support. This role is ideal for an organised and proactive administrator who enjoys working in a fast-paced environment with varied responsibilities.

Key Responsibilities of an Administrator\n

  • Conduct security interviews for prospective employees as part of the onboarding process.
  • \n
  • Prepare and issue employment offers and contracts to successful candidates.
  • \n
  • Support new starter inductions, including biometric enrolment and explaining referencing and DBS clearance procedures.
  • \n
  • Assist employees with ADP system registration and onboarding.
  • \n
  • Administer airport ID pass applications, renewals and replacements, including referencing checks and Gateway system updates.
  • \n
  • Process and issue staff car park permits.
  • \n
  • Maintain accurate electronic and paper personnel records in line with GDPR requirements.
  • \n
  • Process applications for airside vehicle permits and Tools of the Trade permits.
  • \n
  • Prepare meeting documentation, accurately record meeting minutes, and distribute actions.
  • \n
  • Monitor stationery supplies and place orders within departmental budgets.
  • \n
  • Coordinate uniform orders and manage stock and expenditure.
  • \n
  • Administer employee eye care voucher applications.
  • \n
  • Respond to incoming telephone enquiries and provide day-to-day administrative support.
  • \n
  • Process invoices and maintain accurate financial records using internal systems.
  • \n
  • Manage all incoming and outgoing post.
  • \n
  • Liaise with the Shared Service Centre regarding new starter and leaver administration.
  • \n
  • Maintain and reconcile petty cash records in accordance with company procedures.
  • \n
  • Process employee expense claims where required.
  • \n
  • Arrange employee travel and accommodation, including hotel, flight and vehicle bookings.
  • \n
  • Coordinate the servicing and maintenance of office equipment and facilities.
  • \n
  • Complete manual payroll amendments where changes cannot be processed through the Dayforce system.
  • \n
  • Process employee documentation including self-certifications, fit notes, medical certificates, pension opt-outs and trade union administration.
  • \n
  • Ensure all administrative activities are completed accurately and in line with company procedures and compliance requirements.

Skills & Experience Required for an Administrator\n
    \n
  • Previous administration experience within a busy office or operational environment.
  • \n
  • Strong organisational skills with excellent attention to detail.
  • \n
  • Ability to manage multiple tasks while maintaining a high level of accuracy.
  • \n
  • Excellent communication and interpersonal skills.
  • \n
  • Confident using Microsoft Office and internal business systems.
  • \n
  • Ability to follow established processes and procedures while remaining flexible to operational requirements.
  • \n
  • Professional, proactive and team-oriented approach.
  • \n
  • Understanding of GDPR and handling confidential information.
  • \n
  • Previous experience supporting HR, payroll or compliance administration would be advantageous.

Salary & Benefits for an Administrator\n
    \n
  • Salary between £28,000 - £29,000, depending on experience.
  • \n
  • Monday to Friday 09:00-17:30
  • \n
  • Based at Heathrow Airport.
