Job Summary

Our client is seeking a dedicated Client Service Associate to support a growing wealth management practice. This role serves as a primary point of contact for clients, handling account servicing, operational processes, and administrative support while delivering an exceptional client experience.

The ideal candidate is detail-oriented, organized, and experienced in wealth management operations, with the ability to build strong client relationships and manage multiple priorities in a fast-paced environment.

Key ResponsibilitiesClient Service & Relationship Management
  • Serve as the primary point of contact for client service requests and inquiries.

  • Build and maintain strong client relationships through responsive, professional service.

  • Communicate proactively regarding account activity and documentation requirements.

  • Prepare meeting materials, reports, and client documentation.

Account Operations
  • Process new account openings, account transfers, beneficiary updates, and account maintenance requests.

  • Prepare and process account documentation, including transfer forms, letters of authorization, and money movement requests.

  • Facilitate wires, ACH transfers, distributions, and other account transactions.

  • Monitor account activity and ensure timely and accurate processing.

  • Maintain accurate records across CRM and portfolio management systems.

Compliance & Risk Management
  • Ensure adherence to regulatory requirements and company policies.

  • Maintain complete and accurate account documentation.

  • Support compliance reviews, audits, and documentation requests.

  • Stay current on industry regulations and compliance standards.

Team & Business Support
  • Coordinate advisor calendars and schedule client meetings.

  • Prepare meeting agendas, review materials, and follow-up items.

  • Assist with onboarding new client relationships.

  • Coordinate with custodians, internal departments, and third-party vendors.

  • Track outstanding requests and ensure timely completion.

  • Identify opportunities to improve workflows and operational efficiency.

Required Qualifications
  • 5+ years of experience in wealth management, brokerage, or financial services.

  • Experience supporting high-net-worth clients.

  • Strong client service and relationship management skills.

  • Excellent verbal and written communication skills.

  • Strong organizational skills with exceptional attention to detail.

  • Experience using custodial platforms and CRM systems.

  • Ability to manage multiple priorities in a fast-paced environment.

  • Proficiency with Microsoft Office.

Preferred Qualifications
  • Experience in an RIA, independent advisory firm, or similar financial services environment.

  • Experience with portfolio management and reporting platforms.

  • Experience working in a collaborative, growth-oriented team.

  • Industry licensing or willingness to obtain appropriate licensing.
