Job Details
- Pay: $35.00 - $40.00 per hour
- Shift Schedule: Mon-Fri
- Shift Times: PM Shift, 2:30-11pm, with possible AM support and Saturday AM shift coverage needed occasionally
- Duration: 13 weeks initially
- Start Date: ASAP!
- Department: Blood Center HLA Laboratory
- Location: Palo Alto, California

- High School Diploma or GED equivalent
- 1 - 2 years experience providing administrative support or customer service support in healthcare or laboratory setting
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, and Teams)
- Must be organized and proactive.
- Electronic Health Record (EHR) experience
- PHI/PII handling knowledge of standards
- Ability to navigate scheduling reports and documentation systems
- Typing 30 wpm.
- Able to use multiple computer programs simultaneously.
- High level of organization and attention to detail
- Strong written and verbal communications
- Strong verbal communication and phone etiquette
- Ability to manage time effectively and meet productivity expectations
- Self-motivated and able to prioritize tasks.
- Able to work collaboratively with a culturally diverse staff in a highly sensitive and stressful environment.
- Reliability and professionalism in a fast-paced clinical environment
- Ability to work onsite and collaborate with a team
- Flexible availability to accommodate training and work schedule.
- Ability to learn internal scheduling workflows and software quickly
- Receive, review, and accurately enter complex laboratory test orders from hospitals throughout the Bay Area into specialized laboratory software.
- Process laboratory requests efficiently while maintaining a high level of accuracy and attention to detail.
- Log and track incoming samples to ensure proper documentation and workflow.
- Troubleshoot order-related questions and provide guidance to physicians, nurses, and other healthcare professionals regarding laboratory testing requirements.
- Deliver exceptional customer service while managing time-sensitive requests with professionalism and urgency.
- Compile meeting agendas and maintain organized documentation to support departmental operations.
- Manage paper files and ensure accurate recordkeeping in accordance with established procedures.
- Collaborate closely with laboratory staff to support efficient testing workflows and timely order processing.
- Prioritize multiple tasks in a fast-paced, high-volume environment while meeting established turnaround times.
- Maintain confidentiality and handle sensitive patient information in compliance with HIPAA and organizational privacy standards.
