We are currently recruiting for a Receptionist job in Greensboro, NC! This is a contract opportunity, expected to last through December! In this role, you will be providing front desk and administrative support during a maternity leave assignment. This role serves as the first point of contact for visitors, clients, and callers while supporting daily office operations, facilities coordination, and accounting/administrative functions. The ideal candidate will be detail-oriented, customer-focused, and comfortable managing multiple priorities in a fast-paced office environment.

Responsibilities:
- Answer and direct incoming phone calls.
- Greet and assist visitors, clients, and vendors professionally.
- Sort and distribute incoming mail and packages.
- Coordinate outgoing shipments and courier pickups.
- Manage shared email inboxes and respond to general inquiries.
- Coordinate conference room scheduling and maintain meeting calendars.
- Send company-wide communications, including employee recognition and birthday announcements.
- Prepare and distribute weather-related office communications as needed.
- Maintain Certificates of Insurance (COIs), including tracking renewals and follow-up with vendors and subcontractors.
- Assist with onboarding new vendors and subcontractors by collecting and organizing required documentation.
- Maintain electronic filing systems and compliance records.
- Assist with invoice verification and documentation review.
- Track and organize receipts and account statements.
- Maintain spreadsheets and records related to company purchases and expenses.
- Support payment notification processes and documentation requests.
- Assist with lien waivers, retainage documentation, and other administrative accounting tasks as needed.
- Support certified payroll reporting and related administrative functions.
- Assist with quarterly sales tax documentation and record verification.
- Assist with ongoing data migration projects by extracting information from various files, spreadsheets, and systems.
- Manage breakroom setup, organization, and cleanliness.
- Monitor inventory and order office and breakroom supplies.
- Bachelors or Associate's Degree preferred.
- At least 2 years of receptionist, administrative assistant, or office coordinator experience preferred.
- Experience with accounting software, vendor compliance, or construction industry administrative support is a plus.
- Strong customer service and communication skills.
- Proficient in Microsoft Office Suite, including Outlook, Word, and Excel.
- Excellent organizational skills and attention to detail.
- Strong data entry and recordkeeping abilities.
- Experience managing calendars and shared inboxes.
- Ability to work independently with minimal supervision.
- Professional phone etiquette and polished interpersonal skills.
- Ability to maintain confidentiality and professionalism.
- Comfortable managing multiple tasks and priorities simultaneously.
