We are seeking a proactive, organised, and detail-focused IFA Administrator to join a well-established financial planning business. This is an excellent opportunity for an experienced administrator, ideally with financial services exposure, to play a key role in supporting advisers and delivering a high-quality client experience.

You’ll work closely with financial planners, paraplanners, and client service professionals, helping ensure the smooth day-to-day running of the business while maintaining the highest standards of accuracy and compliance.

The Role

\n

As an IFA Administrator, your responsibilities will include:

\n

Client Documentation & Communication

\n
    \n
  • Preparing and issuing Letters of Authority and liaising with providers to obtain information
  • \n
  • Producing portfolio valuations for client review meetings
  • \n
  • Preparing client packs for review and prospective client meetings
  • \n
  • Regularly liaising with clients, servicing them to a high standard
  • \n
\n

Systems & Data Management

\n
    \n
  • Maintaining accurate and up-to-date client records on the back-office system
  • \n
  • Supporting compliance with internal procedures and regulatory requirements
  • \n
\n

\n

Office Administration

\n
    \n
  • Managing incoming and outgoing post, scanning, printing, and filing
  • \n
  • Monitoring adviser diaries and ensuring paperwork is prepared ahead of meetings
  • \n
  • Managing office supplies and supporting efficient information flow across the business
  • \n
\n

\n

Task & Workload Management

  • Prioritising tasks effectively and meeting deadlines in a fast-paced environment
  • \n
\n

About You

Essential

  • Strong administration experience
  • \n
  • Excellent attention to detail and organisational skills
  • \n
  • Ability to multitask and work under pressure
  • \n
  • Confident using Microsoft Office
  • \n
\n

Desirable

    \n
  • Previous experience within financial services or IFA administration
  • \n
  • Strong communication and problem-solving skills
  • \n
\n
