Job Description
Office Administrator – 6-Month Contract
\nLocation: Slough, Berkshire
\nSalary: Competitive – dependent on skills and experience
\nHours: 37.5 hours per week
\nKey Responsibilities
\n- \n
- Supply Chain Management \n
- Onboarding – issuing questionnaires to new contractors for matrix inclusion and verifying all supporting documentation \n
- Ongoing compliance – monitoring insurance, accreditations, and waste transfer licences \n
- Renewal questionnaires every two years (frequency to be confirmed) \n
- Ad-hoc compliance checks in response to legislative changes, e.g., Modern Slavery audits \n
- Management of waste transfer licences \n
- Annual reviews of sub-contractors and suppliers \n
- Requesting and verifying supplier bank details and payment terms \n
- Preparing TSSS meeting agendas and minutes \n
- Updating COSHH assessments in collaboration with PRB (external Health & Safety consultants) \n
- Updating risk assessments and method statements with PRB \n
- Maintaining monthly near miss logs and newsletters \n
- Ordering uniforms and personal protective equipment (PPE) for new starters \n
- Managing stationery supplies \n
- Coordinating annual gas analyser calibration and maintaining related logs \n
- Filing and digital archiving of waste transfer notes \n
- Administering annual customer satisfaction surveys via Survey Planet \n
- Maintaining the Plant Room documentation, including car lists, phone lists, policies, procedures, COSHH files, risk assessments, and method statements \n
- Managing incoming and outgoing post \n
- Supporting directors with administrative tasks such as community initiatives and office facilities \n
- Creating and managing the administrative rota \n
- Undertaking general ad hoc administrative duties as required \n
Essential Knowledge and Skills
\n- \n
- Excellent verbal and written communication skills, capable of engaging effectively with individuals at all organisational levels \n
- Strong organisational skills with the ability to manage multiple tasks, deadlines, and priorities efficiently \n
- Experience in document management, filing systems, and administrative workflows \n
- Proficiency in common office software, including word processing, spreadsheets, presentations, email, and calendar management \n
- Basic troubleshooting skills and familiarity with office equipment such as printers and scanners \n
- Ability to enter and maintain accurate data across various systems and databases \n
- Understanding of administrative support functions, including meeting coordination, report preparation, travel arrangements, and event assistance \n
Qualifications

- GCSEs – minimum grade C/4 in English and Mathematics \n

- Demonstrable experience in office administration \n
- Effective communication skills, both written and verbal \n
- Proficient user of Microsoft Word, Excel, and Outlook \n
