Administrative Coordinator The Administrative Coordinator provides critical administrative and operational support to ensure efficient daily business operations. This role works closely with production, purchasing, vendors, and management to coordinate orders, maintain accurate records, support reporting activities, and facilitate communication across departments. The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced manufacturing environment. This is a Direct Hire opportunity located in Itasca, IL. Responsibilities
  • Process and place purchase orders for production materials and components to support manufacturing schedules and operational requirements.
  • Communicate regularly with vendors to confirm orders, monitor delivery schedules, resolve issues, and obtain updated pricing information.
  • Track purchasing activity and maintain accurate records of orders, supplier information, and inventory-related documentation.
  • Assist with month-end reporting activities by gathering, compiling, and organizing operational data for management review.
  • Prepare and maintain spreadsheets, reports, and administrative records using Microsoft Excel and other business systems.
  • Support the General Manager and administrative team with daily operational and administrative functions.
  • Coordinate information and communications between internal departments, vendors, and management to ensure timely completion of business activities.
  • Review documentation for accuracy, maintain organized files, and help ensure compliance with company procedures and processes.
  • Provide cross-functional support and backup coverage for other administrative team members as needed.
  • Assist with special projects and additional administrative duties to support business operations and customer requirements.
Qualifications
  • 3+ years of administrative, purchasing, operations support, or office coordination experience.
  • Experience working with purchase orders, vendor communications, or procurement support activities preferred.
  • Strong attention to detail and organizational skills with the ability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Excel, including formulas, spreadsheets, and data reporting functions.
  • Excellent verbal and written communication skills.
  • Ability to work independently while collaborating effectively with internal teams and external vendors.
  • Experience in a manufacturing, industrial, or production environment is preferred.
Job Details:
  • Direct Hire
  • 100% onsite
  • Pay $25-$30 an hour, depending on experience
