Role: Project Coordinator
Duration: Full-time
Location: Santa Clara, CA
Project Coordinator's position provides administrative and project support for the assigned group and serves as the primary point of contact for internal and external customers on all administrative and informational matters. This position will have secondary responsibilities in providing marketing and administrative support to the Sales and Project Managers and providing back up and collaborative support for other regional offices. - Support the PM with reconciling project accounts with general ledger entries and labor postings; tracking project budgets and expenditures; monitoring cost performance vs. forecasts; identifying cost overruns and recommend corrective actions. - Work with internal Procurement Engineer to identify material and equipment constraints impacting planned work. Identify possible future material and equipment constraints for prioritization. - Coordinating with Project Management staff to create and submit billings each month to the client - Support the Collections department and Project Management staff to collect payments and track compliance with payment and collection terms/conditions, including certified payroll, as applicable. - Coordinate with the PM/PE to review subcontractor/vendor payment applications for progress alignment - Act as bridge between project teams and AP for clarifying and correcting invoice discrepancies, responding to vendor inquiries, and prioritizing urgent payments. - Assist the Project Management team in processing vendor and subcontractor invoices and act as the “point person” in Medius for the project. Assist project management team with forecasting support & compliance and audits.
Required Skills & Experience
- 3-5+ years' of experience as a Project Coordinator or similar working on construction sites, supporting field teams, GC's, and subs
- Experience working as a POC for an end client
- Proficient with employee onboarding, badging, etc
- Intermediate proficiency-level usage of MS Office applications, including Word, Excel, and PowerPoint, MS Project
Experience planning and executing meetings for department leadership, sales managers, salespeople, and vendors as needed by the Project Manager
Annual Compensation:
$70,000 -$75,000. Exact compensation may vary based on several factors, including skills, experience, and education. Employees in this role are also entitled to paid sick leave and/or other paid time off as provided by applicable law
