Office Coordinator
Job Description
As Office Coordinator you will be joining a family owned and run beautiful rural estate. The estate receives more than 100,000 visitors a year and hosts a wide range programme of events including festivals, weddings, film location, corporate and private parties. The role is full time, permanent working on site in Henley-on-Thames offering a salary of up to £28,000 with standard office hours Monday to Friday.
\nPurpose of the role:
\nReporting to the General Manager, you will be supporting the administration function of the estate office, commercial let offices and business operations.
\nKey Responsibilities and Accountabilities for the Office Coordinator:

- Being first point of contact for enquiries \n
- Facilities administration \n
- Historic house management: liaising with architects, other advisers and conservation specialists as required \n
- Manage the ticketing system, group bookings and corporate event bookings \n
- Overseeing maintenance and utility agreements for the house, office and parkland \n
- Fleet management including lease agreements, MOTs, servicing etc \n
- Act as intermediary for property portfolio, liaise with leaseholders for commercial and residential properties, coordinating repairs and refurbishment projects \n
- Support with Health & Safety activities \n
- Maintain CRM database \n
- Source goods and services as required \n
- Assist with updating and maintaining the website including e-newsletter \n
- Support with planning inhouse events, interacting with external hirers, liaising with organisers, helping with supervision of event staff and contractors \n
- Responding to booking enquiries, taking bookings, maintain spreadsheets detailing catering requirements \n
Key Skills Required for the Office Coordinator:

- Strong organised administration experience \n
- Ability to work on multiple projects simultaneously \n
- High levels of accuracy and attention to detail \n
- Confident communicator with high levels of customer care \n
- Ability to build positive working relationships with internal and external teams \n
- Adaptable in a changing environment \n
- Proficient in Microsoft Office, file management systems \n
- Experience of ticket booking systems would be an advantage \n
- Own transport due to remote location \n
