\nOur client is a prominent independent estate agency based in based High Wycombe who are looking to recruit an experienced, organised & professional Property Administrator.
\nThe Role:
\nTo provide comprehensive administrative support across the Sales, Lettings and Property Management departments, ensuring the smooth day-to-day running of the office while delivering an excellent level of customer service to vendors, purchasers, landlords, tenants, contractors and applicants.
\nThis is a varied role requiring excellent organisational skills, attention to detail and the ability to manage multiple priorities in a fast-paced estate agency environment.
\nKey Responsibilities include but are not limited to:
\nSales Administration:
\n• Process enquiries, book and attend viewings
\n• Assist with property listings, ensuring details are accurate and up to date.
\n• Liaise with vendors, buyers, solicitors and mortgage brokers.
\n• Progress sales where required by obtaining updates from all parties.
\n• Maintain accurate records on the agency CRM system.
\n• Property marketing on relevant portals Lettings Administration:
\n• Process lettings enquiries, arrange and attend viewings
\n• Process tenancy applications, agreements, documentation and coordinate referencing on the Let Alliance Portal
\n• Arrange inventories, check-ins and check-outs.
\n• Ensure all compliance documentation, including EPCs, Gas Safety Certificates and EICRs, is current when uploading to the tenant portal.
\n• Support landlords and tenants throughout the tenancy process.
\n• Property marketing on relevant portals Office Administration:
\n• Answer incoming telephone calls and emails professionally.
\n• Welcome clients and visitors to the office.
\n• Assist in managing the office diary and appointments for the team.
\n• Maintain filing systems and customer records.
\n• Assist with general administrative duties across all departments.
\n• Deliver a high standard of customer service at all times.
\n• Build positive relationships with landlords, tenants, vendors and buyers
\n• Resolve general enquiries efficiently and professionally.
\n• Escalate issues where appropriate.
\n• Maintain accurate records in accordance with GDPR.
\n• Assist with Anti-Money Laundering (AML), Right to Rent and other regulatory requirements.
\nSkills & Experience Essential:
\n• Excellent organisational and time management skills.
\n• Strong written and verbal communication skills.
\n• High level of accuracy and attention to detail.
\n• Confident using Microsoft Office and computer systems.
\n• Ability to prioritise workload in a busy environment.
\n• Professional, friendly and approachable manner.
\n• Excellent customer service skills.
\n• Full UK Driving License & Car owner Desirable but not essential:
\n• Previous experience within estate agency, lettings or property management.
\n• Knowledge of UK property legislation and compliance requirements.
\n• Experience using estate agency software such as Alto, Reapit or similar CRM systems.
