Position Summary
We are seeking a detail-oriented Accounts Payable Associate to support the day-to-day financial operations of our organization. This role is responsible for ensuring the accurate and timely processing of invoices, vendor payments, account reconciliations, and financial record maintenance. The ideal candidate will have strong organizational skills, attention to detail, and the ability to work effectively in a team environment.

This role is responsible for ensuring the accurate and timely processing of invoices, vendor payments, account reconciliations, and financial record maintenance. The ideal candidate will have strong organizational skills, attention to detail, and the ability to work effectively in a team environment.
Key Responsibilities
- Verify invoices against receiving reports for accuracy
- Review vendor invoices requiring special handling, including credits, DSO items, and other exceptions.
- Process and post approved invoices into the accounting system and maintain organized records.
- Prepare, process, and distribute debit memos.
- Verify incoming and outgoing freight bills for accuracy.
- Prepare vendor payment runs and generate checks according to established schedules.
- Create and update vendor records within the accounting system.
- Order and manage office supplies and printed forms inventory.
Required:
- High school diploma or equivalent.
- Proficiency in English.
- Strong attention to detail and accuracy.
- Basic computer proficiency and ability to work with accounting systems.
- At least one year of Accounts Payable experience
- Strong data entry and keyboarding skills.
- Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and OneNote.
- Professional email communication skills.
- Ability to operate standard office equipment, including copiers, fax machines, calculators, and phones.
- Strong organizational and multitasking abilities.
- Team-oriented mindset with a willingness to support multiple departments.
- Excellent attention to detail and follow-through.
