\nThe Executive Administrative Assistant provides high-level administrative and organizational support to the Executive Team. By assisting executives, greeting visitors, and coordinating meetings, this role helps ensure a positive, efficient, and collaborative office atmosphere.\n

\nSalary range for this position is $69,280.38 - $80,996.76 with a progressive benefit package.\n

\nResponsibilities\n
\n
\nPerforms essential duties and responsibilities in the following areas which may include but are not limited to those listed and are subject to change.\n
\nAdheres to the Credit Union's core values and Service Standards in conducting GreenState's mission and vision.\n
\nDemonstrates a positive member service (internal and external) focus at all times.\n
\nDemonstrates teamwork in all interactions with coworkers and in the completion of all duties and responsibilities.\n
\nEnsures confidentiality of member information.\n
\nSupports a diverse and inclusive work environment.\n
\nRepresents GreenState with the highest level of professionalism.\n
\nSupports the executive welcome desk and serves as the point of contact for employees, guests, members, and other external organizations for the Executive Team.\n
\nManages multiple or complex calendars to include updating schedules, blocking time for meetings to include prep and travel time, and protects focus period.\n
\nSchedules travel accommodations to include booking flights, making hotel and other related accommodations, arranging itineraries, preparing travel documents, and supporting expense reporting.\n
\nAssists in the drafting, editing, formatting, filing, and mailing of correspondence, presentations, reports, and other documents.\n
\nAttends meetings and serves as a minute or note taker as needed.\n
\nSafeguards sensitive, confidential information with a high level of discretion sensitive information and maintain organized, secure filing systems.\n
\nOrganizes and prioritizes incoming requests.\n
\nAssists with special projects by coordinating resources, tracking progress, and ensuring deadlines are met.\n
\nAssists with the preparation of various GreenState meetings, luncheons, and dinners by preparing documents, room set up, securing proper audio/visual equipment, ordering food and beverages, etc.\n
\nMaintains inventory of office supplies and places orders when necessary.\n
\nAnticipate executive needs proactively.\n
\nPerforms any other duties as may be required to meet credit union objectives.\n
\n
\nQualifications\n
\n
\nA two-year college degree in management support is highly preferred.\n
\nMinimum two years of related experience supporting executive level management.\n
\nStrict adherence to GreenState Credit Union policies, procedures, and operations.\n
\nReports to work punctually, work all scheduled hours, and work overtime as necessitated by business demand.\n
\nExhibit a significant level of trust in addition to normal courtesy and tact.\n
\nEnsure the strictest of confidentiality and the ability to manage handling large amounts of sensitive information.\n
\nInterpersonal skills required to interact with all levels of GreenState employees and community representatives.\n
\nExhibit a positive attitude and professional image at all times.\n
\nStrong organization skills with extreme attention to detail.\n
\nStrong verbal, written, and interpersonal communication skills.\n
\nExcellent time management skills required to manage and complete multiple assignments at once.\n
\nAbility to follow specific directions and multi-task in a fast-paced environment.\n
\nAdvanced computer Microsoft Office skills (Outlook, Word, Excel, PowerPoint) with an ability to become familiar with firm-specific programs and software.\n
\nAble to perform clerical duties such as taking meticulous meeting notes, developing and maintaining files, and protecting confidential information.\n
\nAbility to work independent of supervision to complete all tasks with minimal direction and exercise sound judgment.\n
\nAccess to reliable transportation, a valid driver's license, good driving record, and adequate automobile related insurance.\n
\nAbility to travel between GreenState and various community locations on a regular basis.\n
\nMust be bondable.\n
\n
\nReporting Relationship\n
\nThis position reports to the Manager Executive Services.\n
\n
\nSupervisory Responsibilities\n
\nThis position is not responsible for the supervision of others.\n
