\nAbout the Role
\nWe are seeking a highly organised and detail-oriented Administrator & Logistics Assistant to support the day-to-day operations of Bid for Wine and Forum Fine Wine.
\nThe successful candidate will work across both businesses, supporting a peer-to-peer wine marketplace alongside a fine wine brokering and auction business. This varied role offers exposure to wine trading, logistics, client services, auctions, and e-commerce operations within a fast-paced and specialist sector.
\nThe ideal candidate will have previous experience in administration, logistics, wine operations, or a related field, and be comfortable working in a dynamic environment where attention to detail and strong organisational skills are essential.
\nThis role would particularly suit someone with 2+ years’ experience in a similar position, ideally within the wine, luxury goods, storage, logistics, or auction sectors.
\nKey Responsibilities
\nAdministrative Support
\nMaintain accurate records of inventory, consignments, and client information
\nAssist with cataloguing wines for auction, including data entry and proofreading
\nPrepare invoices, shipping documents, and internal reports
\nArrange delivery of winning lots and merchant orders
\nUpdate and manage stock records using internal inventory systems
\nLogistics Coordination
\nCoordinate incoming and outgoing wine shipments
\nLiaise with warehouses, couriers, and clients to ensure timely deliveries and collections
\nTrack shipments and resolve logistical issues or delays
\nAssist with stock control, storage organisation, and condition checks
\nSupport wine storage and warehouse logistics operations
\nPack and prepare wines securely for shipment and collection
\nOrganise deliveries and collections with couriers and storage providers
\nAssist with the physical handling and movement of wine cases and stock as required (manual handling involved)
\nAuction & Sales Support
\nAssist in the preparation and execution of wine auctions (online and/or live)
\nCoordinate lotting, labelling, and movement of wines for sale
\nPhotograph bottles for listings
\nSupport online sales administration and website stock updates where required
\nClient Interaction
\nRespond to client enquiries via email and phone in a professional manner
\nAssist with valuations and general client administration
\nSkills & Experience
\nEssential
\nMinimum 2 years’ experience in an administrative, logistics, or operations role
\nStrong organisational skills and exceptional attention to detail
\nGood written and verbal communication skills
\nProficiency in Microsoft Office, particularly Excel
\nAbility to multitask and work to deadlines in a fast-paced environment
\nProactive, reliable, and professional approach
\nDesirable
\nPrevious experience within the wine trade, wine storage, or wine logistics
\nExperience using LCB stock management systems or similar inventory management software
\nFamiliarity with Wine Hub and WooCommerce platforms
\nAuction industry knowledge or previous auction experience desirable
\nFamiliarity with inventory or database systems
\nInterest in wine, luxury goods, or the auction industry
