Purchase Ledger / Administrative Assistant
Job Description
Job Purpose:
\nThe Purchase Ledger / Administration Assistant role is responsible for managing all aspects of accounts payable, ensuring suppliers are paid accurately and on time, maintaining financial records, and providing administrative support to the finance team. This position requires strong attention to detail, organizational skills, and the ability to work collaboratively across departments.
\nKey Responsibilities
\nPurchase Ledger:
\nProcess supplier invoices accurately and in a timely manner
\n• Match purchase invoices to purchase orders and delivery notes
\n• Reconcile supplier statements and resolve discrepancies
\n• Prepare and process supplier payments (BACS)
\n• Handle supplier queries
\n• Assist with month-end procedures and reporting
\n• Provide general administrative support to the finance team
\n• Answer incoming calls and respond to emails
\n\nAdministration:

- Maintain filing systems for financial and purchase records. \n
- Support the finance team with general administrative duties. \n
- Prepare reports on supplier accounts \n
- Assist with internal audits and compliance documentation. \n
- Ensure adherence to company policies and financial procedures. \n

Qualifications & Experience:

- Proven experience in purchase ledger/accounts payable or finance administration. \n
- Knowledge of accounting software QuickBooks and Microsoft Office Suite. \n
- Basic understanding of bookkeeping and financial processes. \n
- Attention to detail and high level of accuracy. \n
- Strong organizational and time management skills. \n
- Excellent communication skills for internal and external liaison. \n
