Working hours: Monday to Friday, 8:00am–5:00pm, with a one-hour lunch break

Employment type: Permanent, full-time

Salary: £31,000–£33,000 per annum, depending on experience

We provide planned and reactive maintenance, repairs, and small-project services to commercial clients. As part of our continued growth, the company has recently invested in new specialist machinery and staff training to expand into the manufacture and production of fire doors.

We are looking for an organised, confident and professional Helpdesk Administrator to join our office team. This is a permanent, long-term opportunity with full training and the potential to develop within the business.

Main responsibilities

  • Answering incoming telephone calls and emails from clients.
  • \n
  • Logging new maintenance requests accurately.
  • \n
  • Raising jobs and work orders on client and company systems.
  • \n
  • Reviewing the nature and urgency of maintenance requests.
  • \n
  • Allocating jobs to the appropriate engineers and subcontractors.
  • \n
  • Confirming appointments and attendance arrangements.
  • \n
  • Providing clients with progress updates.
  • \n
  • Chasing engineers for job reports, photographs and completion information.
  • \n
  • Monitoring outstanding and overdue jobs.
  • \n
  • Updating job records and client portals.
  • \n
  • Checking that reports and documents are complete before jobs are closed.
  • \n
  • Communicating professionally with clients, engineers, suppliers and subcontractors.
  • \n
  • Escalating urgent issues to the operations team.
  • \n
  • Supporting the wider office team with general administrative duties.
  • \n

Skills and experience

  • Excellent written and spoken English.
  • \n
  • Confident and professional telephone manner.
  • \n
  • Strong customer-service and communication skills.
  • \n
  • Good Microsoft Outlook, Word and Excel skills.
  • \n
  • Excellent organisation and attention to detail.
  • \n
  • Ability to prioritise urgent and non-urgent requests.
  • \n
  • Ability to remain calm while handling several jobs and enquiries.
  • \n
  • Reliable, punctual and willing to learn.
  • \n
  • A degree or equivalent qualification in Business Management, Business Administration, Construction Management, would be advantageous.
  • \n
  • Previous helpdesk, customer-service, scheduling, administration or facilities-management experience would be beneficial but is not essential, as training will be provided.
  • \n
  • Romanian language skills are highly desirable because the position may involve communicating with Romanian-speaking engineers and operatives.
