Job Summary
Part Time Administrative Assistant - Property Management for a temp-to-hire opportunity in San Jose, CA. This role supports a busy real estate and property management team with tenant coordination, documentation, vendor compliance, database maintenance, invoice processing, and general administrative operations.
This is a strong opportunity for an administrative professional who enjoys working in a professional, team-oriented property management environment. The role offers exposure to leasing administration, tenant relations, operations, maintenance, security coordination, and accounts payable processes. Candidates who are organized, detail-oriented, and comfortable communicating with tenants, vendors, contractors, and internal teams can build valuable experience and long-term career potential in commercial property management.
Key Responsibilities
- Support property operations, marketing, maintenance, and security teams with tenant-related administrative tasks and daily coordination.
- Manage vendor, contractor, and tenant certificate of insurance requirements, including receipt, review, tracking, and compliance follow-up.
- Maintain accurate tenant records, emergency contacts, office occupancy records, lease documentation, move-in requirements, and related compliance files.
- Update and manage property management databases and platforms, including Yardi, NetVendor, Commercial Cafe, Payscan, and DocuSign.
- Assist with accounts payable processes, invoice support, office supply ordering, tenant correspondence, welcome letters, default notices, and retailer documentation.
- Coordinate with security and janitorial teams regarding visitor communication, contractor access needs, building access, and property location support.
Compensation and Benefits
- Job Type: Temp-to-Hire.
- Salary Range: $50,000 to $60,000 per year.
- Location: San Jose, CA.
