Legal Administrative Assistant (Litigation) Austin, TX | Hybrid Schedule (2-3 Days In Office Per Week)

Position Summary

A respected and growing law firm is seeking an experienced Legal Administrative Assistant to support attorneys in its Litigation and Environmental practice areas. This role provides high-level administrative and legal support, including document preparation, calendaring, billing coordination, client communications, and litigation support. The ideal candidate is highly organized, detail-oriented, adaptable in a fast-paced environment, and able to exercise sound judgment while managing multiple priorities.

Compensation & Benefits
  • Salary: $70,200 - $78,000 annually, depending on experience
  • Non-exempt position based on a 37.5-hour workweek
  • Eligible for overtime pay after 37.5 hours worked per week
  • Hybrid schedule: 2-3 days per week in the office
  • 16 days PTO accrued annually
  • 8 paid sick days per year

Primary Responsibilities
  • Provide administrative and litigation support to multiple attorneys and legal professionals
  • Manage calendars, schedule meetings, coordinate conference rooms, and arrange travel logistics
  • Handle incoming and outgoing communications, including phone calls, emails, and correspondence
  • Maintain, organize, and manage electronic and physical client files
  • Process conflict checks, new client matters, and file management requests
  • Enter attorney time, process expense reimbursements, and submit check requests
  • Assist with billing activities, including pre-bill review, invoice preparation, and coordination with accounting
  • Draft, edit, proofread, format, and manage legal documents and correspondence
  • Perform document comparisons, cross-referencing, and transcription of dictation
  • Support attorneys with legal research, filings, and case-related administrative tasks
  • Track CLE requirements and maintain attorney records
  • Provide outstanding client service while maintaining strict confidentiality
  • Assist with special projects, events, and cross-functional initiatives as needed
Qualifications
  • Some college preferred, but not required
Experience, Skills & Competencies
  • Minimum 3 years of administrative assistant experience
  • Prior experience in a law firm or corporate legal department required
  • Litigation experience required
  • Environmental or administrative law experience strongly preferred
  • Proficiency with Microsoft Office Suite (Word, Outlook, Excel)
  • Experience with document management systems; Adobe Acrobat preferred
  • Strong organizational skills with the ability to manage multiple priorities and deadlines
  • Ability to work independently, exercise sound judgment, and proactively anticipate attorney needs
  • Excellent written and verbal communication skills
  • Professional, collaborative, and client-service-oriented approach
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion
Pay Details: $70,200.00 to $78,000.00 per year
